The Length of Stay report shows accommodation revenue, occupied nights and the average rate for six months, grouped by how long each reservation stays.
Overview
The Length of Stay report shows how much of a property's business comes from short stays and how much comes from long stays. For each month in a six-month window, it shows the Rental Rev, Occupied nights and ARR (Average Room Rate) of the reservations in each length of stay band, with a total for each group of bands and a Grand Total.
The Length of Stay report places each reservation in a band by the length of its whole stay, from its arrival date to its departure date. Stays of fewer than 30 nights are in the < 1 Month group (1-3 Nights, 4-7 Nights, 8-14 Nights, 15-29 Nights and Day Use). Stays of 30 nights or more are in the => 30 Days group (1-3 Months, 3-6 Months and >6 Months). See Data Sources & Calculations for the full rules.

Use Cases
Run the Length of Stay report when you need to compare short and long stays by revenue, nights and rate, for example:
- Business mix review - at the start of each month, the revenue manager builds the report to see how occupied nights and Rental Rev split between short and long stays for the current month and the five months ahead.
- Long stay rate check - a property that takes long term residents compares the ARR of the 1-3 Months, 3-6 Months and >6 Months bands with the ARR of short stays, to check that long stay rates are set at the intended level.
- Minimum stay planning - before changing Length of Stay Restrictions, the reservations manager reviews how many nights and how much revenue each length of stay band brings in.
How to Access
In the side menu of RMS, go to Reports > Management > Statistics > Length of Stay.
Report Options
Tip! Report build screens default to a common use configuration, and selections can be made as required.

Column Headers
The Length of Stay report is a grid in which each row shows one figure for one length of stay band, and each column shows one month or a total. The report header shows the property or enterprise name and the six months covered, for example Date : September To February.

Data Sources & Calculations
The following rules apply to every figure on the Length of Stay report.
Length of stay bands
The Length of Stay report places each reservation in one band, based on the number of nights between its arrival date and its departure date. The band is set by the whole stay, not by the nights in a particular month. For example, a 21-night stay from 25 December to 15 January counts 7 nights in December and 14 nights in January, and both appear in the 15-29 Nights band.

For stays of 30 nights or more, the Length of Stay report counts calendar months from the arrival month to the departure month and ignores the day of the month. A stay from 1 January 2027 to 30 April 2027 (119 nights) is 3 months apart and is in the 1-3 Months band, while a stay from 31 January 2027 to 1 May 2027 (90 nights) is 4 months apart and is in the 3-6 Months band.
When a reservation is split across Areas with a Reservation Area Move with Split Reservations, every part of the stay is placed in the band for the whole stay, from the first arrival date to the last departure date.
Which reservations are included
The Length of Stay report includes the reservations that occupy an Area during the month, with these rules:
- Status: reservations with a Reservation Status of Unconfirmed, Confirmed, Arrived, Departed or Owner Occupied are included. Cancelled, No Show, Quote, Pencil and Out of Order (Maintenance) reservations are not included.
- Group reservations: the Master Reservation of a group is not included. The individual reservations in the group are included.
- Waitlist: reservations on the Waitlist are not included.
- Area Statistics: reservations in Areas excluded from statistics are not included, while reservations not yet allocated to an Area are included. See Area Statistics.
- Day use reservations: a reservation that arrives and departs on the same day is included only when the property option Include Day Use in Used for Occupancy is selected (Setup > Property Options > Property Information > Options), or when its Category is set to Book by Day or has a Category Class of Facility.
- Category and Property: only reservations in the Categories and Properties selected in the report options are included.
Rental Rev
Rental Rev is the accommodation revenue from the reservations in a band for the nights that fall in each month. It uses Operational Revenue, which spreads accommodation revenue across the nights of the stay:
- Transactions on the reservation account are included when their General Ledger Account Code is set to be included in Accommodation Revenue. See Set up General Ledger Account Codes.
- Nights that have not been charged yet are projected from the reservation's quoted rate.
- Long Term reservations are not projected, so they only add Rental Rev for accommodation charges posted to the reservation account.
On a property where rates include tax, the tax included in the rate is part of Rental Rev.
Reservations with a rate of 0.00, and long term reservations without posted accommodation charges, add Occupied nights but no Rental Rev, which lowers ARR.
Occupied
Occupied is the number of nights that reservations in a band occupy in each month. A night is counted from the arrival date up to, but not including, the departure date, and belongs to the month it falls in, so a stay that runs into the next month adds nights to both months. Each reservation counts once per night, whatever the number of guests.
- A day use reservation that is included adds 1 to Occupied, except in Facility Categories.
- For Categories set to Book by Day, Occupied counts each day of the booking, including the departure day.
- For Categories with a Category Class of Facility, such as event spaces booked by the hour, Occupied adds hours instead of nights.
Please Note! The Category option includes every Category by default, including Facility Categories. Hours from Facility bookings can make Occupied much higher and ARR much lower than the accommodation figures alone. Deselect Facility Categories in the Category option to report on accommodation only.
ARR
ARR (Average Room Rate) is the Rental Rev of a band divided by its Occupied nights for the same month or total. The Totals and Grand Total rows and the Total and Grand Total columns recalculate ARR from their own Rental Rev and Occupied figures rather than averaging the ARR above them. For example, a group with 2,280.00 Rental Rev over 11 Occupied nights shows an ARR of 207.27. When Occupied is 0, ARR shows 0.00.
Report window
The Length of Stay report always covers six whole calendar months, starting with the month that contains the Start Date. The day of the Start Date does not change the figures: a Start Date of 15 January includes every night from 1 January to 30 June. The first three months are followed by a Total column, the last three months by a second Total column, and the Grand Total column covers all six months.
