Information on using the Daily Reservation Activity Report in RMS, and the data it reports on.
Overview
The Daily Reservation Activity Report provides a one-page summary of reservation activity for a chosen date or date range. It lists each reservation that was made or cancelled in the selected period, with key booking, Guest, Company and reservation details on a single line per reservation.
The report is grouped (by default by Reservation Status) and includes a Sub Total per group and a Grand Total at the foot of the report, showing total nights and total base rate.
Typical use cases include:
- Reviewing all reservations made or cancelled on a specific day
- Briefing staff at a daily handover or operations stand-up
- Auditing recent reservation activity by Reservation Status, Property or Loyalty Membership Type
- Spotting patterns by booking source, contact, organization or "How Heard of Us"
Why use the Daily Reservation Activity Report?
Use this report when you need to:

See today's reservation movement at a glance
Identify which reservations were created or cancelled in the period, without needing to open each one. -
Brief operational teams
Provide a printable single-page view of new bookings ahead of a daily handover, housekeeping briefing or revenue meeting. -
Identify repeat guests
The "Has Guest Stayed Before Y/N" flag highlights returning guests so service teams can prepare accordingly. -
Understand new booking sources
Review the contact, organization and "How Heard of Us" details for each new reservation to see where business is coming from. -
Confirm category mix and revenue
See Category, No of Nights, Area Rate and Total Base Rate per reservation, with a Sub Total per group and a Grand Total.
If you need a wider view of reservation production over time, use the Reservation Production Report or the Reservation Made/Modified Report. For cancellations specifically, use the Cancellation List Report.
Prerequisites
- Access to the Reports module in RMS.
- Security permission to view the Daily Reservations Activity report. If the report is not visible in your menu, contact a Property Administrator to enable access via Setup > Users > Security Profiles.
- Reservations with creation, modification or cancellation activity in the selected date range. If no activity falls in the period, the report builds with an empty body and a Grand Total of zero.
How the report works
The Daily Reservation Activity Report is built on the RMS report viewer. After you click Build, the report is generated as a single, scrollable page that can be navigated, exported, printed or emailed using the toolbar at the top of the report tab.
Date logic
- Reservation Made or Cancelled On controls which reservations are included. Only reservations with a creation, modification or cancellation event whose date falls inside this range are returned.
- Filter By Arrival Date is optional. When ticked, the report restricts results to reservations whose Arrival Date falls within the second date range. Leave it unticked to include all activity in the period regardless of arrival date.
Grouping
- Reservations are grouped by your Group By selection. Each group displays a Sub Total of nights and Total Base Rate.
- A single Grand Total row at the foot of the report shows the totals for the entire result set.
Output
- The report renders a header for the property and the selected date, followed by the grouped reservation rows.
- Use the toolbar above the report to navigate pages, zoom, switch to print layout, print, email or download (PDF, Excel, Word and other formats supported by the viewer).
Report Options

| Reservation Made or Cancelled On | Date or date range for the reservation creation, modification or cancellation event. Defaults to Today. |
| Filter By Arrival Date | Optional checkbox. When ticked, the second date range filters results to reservations whose Arrival Date falls within those dates. |
| Category | Multi-select dropdown of categories to include. Defaults to All Selected. |
| Group By | Controls how reservations are grouped on the report. Options: Reservation Status (default), Property, Loyalty Membership Type, No Grouping (Sorted by Arrival date). |
Guide
In the side menu of RMS, go to Reports > Daily > Daily Reservations Activity.
- Select the Reservation Made or Cancelled On date range.
(Optional) Select Filter By Arrival Date and set the date range. - Select the Category.
- Select the Group By option.
- Select Build.
Report Columns
The report displays the following columns, organised under four group headers: Booking Source, Guest Company, Guest, and Reservation.

| Booking Source | Contact Name | Populated when the reservation was made by a contact on the guest's behalf (for example, a travel agent or PA). |
| Organization | Organization linked to the booking contact. | |
| How Heard of Us? | Marketing source recorded against the reservation when it was booked directly by the guest. Shown under the If Booked By Guest sub-header. | |
| Guest Company | Company | The company selected on the reservation. |
| Guest | Guest Name | Name of the primary guest on the reservation. |
| Has Guest Stayed Before Y/N | Y if the guest has a previous reservation history at the property, otherwise N. Useful for flagging returning guests. | |
| Reservation | Category | Reservation category (the type of accommodation booked, for example Lake Cabin or Studio). |
| Arrive Date | Reservation arrival date. | |
| No of Nights | Total number of nights for the reservation. | |
| Area Rate | The rate applied to the area, before extras or other adjustments. | |
| Total Base Rate | Total base rate for the stay (Area Rate multiplied by No of Nights, before discounts, packages or sundries). | |
| Res No | RMS reservation number. |
