This article describes the Boomgate History report, which lists the vehicle access events recorded at a property's Boomgates over a selected date range.

Overview

The Boomgate History report shows every vehicle access event recorded at a property's Boomgates over a date range. It is an event log: each row is one access event that the access control system connected to RMS has reported back, showing the date and time of the event, the gate that recorded it, the access number that was presented, and the guest or Alternate User that access number belongs to.

Reception and management staff run this report to answer questions about past gate activity: whether a guest or contractor used their access number, when a vehicle was recorded at a gate, and which gate recorded the event.

The Boomgate History report covers events that have already happened, over a date range you choose. The companion Boomgate Status Report shows the current access status of guests and vehicles instead, and has no date filter.

Use Cases

• Investigating a disputed gate entry - a guest reports that their access number did not work, and reception checks whether a gate recorded an event for that access number.
• Confirming contractor attendance - management checks whether a maintenance contractor set up as an Alternate User used their access number on a given day.
• Auditing one access number or one gate - security reviews every event recorded for a single access number, or every event recorded at a single gate, across a period.

How to Access

In the side menu of RMS, go to Reports > Daily > Boomgate History.

Report Options

Set the report options, then select Build to generate the report on screen. Select Schedule to have RMS run and send the report automatically, or Exit to close the report.

Tip! Report build screens default to a common use configuration, and selections can be made as required.

Column Headers

The columns below appear on the report output, in this order. Where a value depends on another RMS screen or on a property setting, the Source column points to the relevant concept under Data Sources.

The following concepts each govern more than one column on the report.

Where the access events come from

RMS does not detect gate activity itself. RMS sends each Boomgate access number, with its activation and expiry dates and times, to the access control system connected to the property. That system decides whether to open the gate, then reports each access event back to RMS. The Boomgate History report lists those reported events.

Because the events originate at the gate rather than in RMS, the report can return no records even though access numbers have been issued. If the property's gates are not connected to RMS, or the access control system is not reporting events back, there is nothing for the report to list. The Date, Time and Response columns all come from the reported event rather than from RMS.

Access numbers, guests and Alternate Users

A Boomgate access number can be issued in two ways, and this determines which columns are populated on the report.

• Issued against a reservation - the access number belongs to a guest. The report shows the guest in the Name column, the Area allocated to the reservation, and the reservation number in Reservation No. Access numbers are added to a reservation on the Rego/Access No tab, and can be created in bulk with Quick Add Boomgate Access Numbers.
• Issued to an Alternate User - the access number belongs to a person who needs property access but is not staying, such as a maintenance contractor or a waste collection service. Alternate Users are set up at Setup > Boomgate > Alternate Users, and the report identifies them in the Alt User column.

Please Note! The Area column heading follows the System Label configured for Area at the property, so it can appear as Room, Site, or another term instead of Area.

Gates and property scoping

Each Boomgate is held in RMS as a numbered gate record that belongs to one property. The Gate No and Gate Type columns are read from that record.

Because each gate belongs to a single property, the report returns only the events recorded at gates belonging to the properties selected in the Property option. Where the same access number exists at more than one property, each property reports only its own gate activity.

Please Note! The report returns rows only where the access control system has reported access events inside the selected date range. A date range with no reported gate activity returns a report with no records.
