Set up the Rego/Access No's tab so Front Desk users can record guest vehicle registrations and Boomgate Access Numbers on a reservation.

Overview

A Boomgate is a barrier used in traffic control systems, typically at the entry or exit point of a property such as a car park or security gate. Boomgate access control in RMS determines the format of Boomgate Access Numbers, the Access Code Slip template, and the interface options used to communicate with a physical boomgate.

Vehicle registrations and Access Numbers are recorded against a reservation on the Rego/Access No's tab. Displaying this tab lets a property record which vehicles belong to a reservation, identify vehicles that should not be on-site, and issue access codes to guests.

Prerequisites

The Rego/Access No's tab can be used to record registrations and access numbers without any additional module.

Tip! A subscription to the Boomgate module is required if integrating with a physical boomgate.

Which Checkbox to Use

The Rego/Access No's tab is controlled by two separate checkboxes on the same setup screen. Selecting either checkbox displays the tab in the reservation side menu. Each checkbox enables a different column on the tab, and adds a different search option to Reservation Search.

• Select Show Reg No's to record guest vehicle registrations against a reservation and to search for a reservation by registration number.
• Select Show Access No's to issue Boomgate Access Numbers to guests and to search for a reservation by access number.
• Select both if the property records vehicle registrations and issues Boomgate Access Numbers.

Please Note! If neither checkbox is selected, the Rego/Access No's tab is not available on the reservation and does not appear in the side menu.

Display the Rego/Access No's Tab

In the side menu of RMS, go to Setup > Property Options > General Information.

1. Navigate to the 'Reservation Defaults' tab.
2. Under 'Additional Tabs', select the checkbox 'Show Reg No's', 'Show Access No's', or both.
3. Select Save/Exit.

Tip! After saving changes to the setup, Users should log out of RMS and then
Log back in to ensure the database updates and reflects the modifications.

Record a Registration or Access Number

Open a reservation and select Rego/Access No's from the reservation side menu. The tab lists one row per vehicle or access code held against the reservation, using the following columns.

Search for a Reservation by Rego No

Once 'Show Reg No's' is enabled, a Rego No option is added to the Reservation Search field list.

1. Select the Reservation Search icon in the Toolbar Menu.
2. Select Rego No from the list of search fields.
3. Select the required Reservation Status checkboxes. Departed and Cancelled reservations are not included unless their checkboxes are selected.
4. Enter the registration number and select the Search icon or press Enter.

Important! The Rego No search only matches registration numbers entered on the Rego/Access No's tab of the reservation. A registration recorded anywhere else will not be returned by this search.

The Car Registration field that can appear on the Guest or Reservation details is a separate field, controlled by field maintenance. A registration entered there is not copied to the Rego/Access No's tab and is not matched by the Rego No search. The same applies to a custom field created to hold a registration number.

Please Note! The search results grid always includes a Rego No column, even when the Rego No search option is not available. Seeing that column does not mean the search option has been enabled.
