This article describes the Parked Reservations Report, which lists the reservations that are parked on the Booking Chart at the moment the report is built, with the Category and Area each one occupied before it was parked.
Overview
The Parked Reservations Report lists every reservation sitting in the Parked Reservation row at the top of the Booking Chart whose stay overlaps the selected date range. Each row shows the reservation number, the primary guest, the arrival and departure dates, the number of adults and children, and the Category and Area the reservation was in before it was parked. Rows are grouped under a heading for each Original Category.
Reception and reservations staff run the Parked Reservations Report to find reservations left parked after an Area exchange. A parked reservation is not occupying an Area, so it needs to be unparked and given an Area before the guest arrives. The report is a snapshot of the current moment: a reservation that has already been unparked never appears on it, whatever date range is selected. The report does not record when a reservation was parked or which user parked it, and the Reservation Audit Trail holds that history.
Please Note! Parking a Reservation does not release availability to connected channels. A Parked Reservation still counts against the availability of its original Category until it is unparked. While it is parked, the Area it vacated can be allocated to another Reservation.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Use Cases
Run the Parked Reservations Report when you need to know which reservations are parked right now, for example:
- Closing out an Area exchange - after moving reservations around the Booking Chart, reception builds the report across the arrival and departure dates of the reservations involved, to confirm that every reservation parked during the exchange has been unparked and given an Area.
- Checking today's arrivals - the duty manager builds the report for Today to catch any reservation arriving today that is still parked, so an Area can be allocated before the guest arrives.
- Preparing for a busy period - reservations staff build the report across a coming weekend or event to list the parked reservations whose stay falls in that window, and allocate Areas to them in advance.
How to Access
The Parked Reservations Report sits in the Daily report group. In the side menu of RMS, go to Reports > Daily > Parked Reservations, set the date range, then select Build. The report screen also offers Schedule (see Scheduled Reports), Add Report to Favourites Menu, and Exit.
Report Options
The Parked Reservations Report has two report options, both on the main report screen.
| Report Option | Type | Default | Description |
|---|---|---|---|
| Parked Reservation Between | Date range | Today | Limits the report to parked reservations whose stay overlaps the selected dates. The label follows the property's Reservation System Label. |
| Property | Multi-select | All Selected | Limits the report to reservations whose Original Category belongs to the selected properties. Shown on multi-property databases only. |
Important! Parked Reservation Between filters on the reservation's stay dates, not on the date it was parked. A reservation is listed when it arrives on or before the To date and departs on or after the From date, so one parked months ago still appears if its stay overlaps the range. The filter also hides parked reservations whose stay falls outside the range: with the default range of Today, a reservation parked for a stay next month is not listed. To see everything that is currently parked, set a range wide enough to cover every stay in question. There is no option to filter by reservation status.
Column Headers
The Parked Reservations Report prints seven columns, one row per parked reservation, under a heading for its Original Category. Several headings follow the property's System Labels, so Original Area can read Original Room or Original Site. See Data Sources & Calculations for which reservations are listed and what the Original columns show.
| Column | Description | Source / Calculation |
|---|---|---|
| Res No | The reservation number of a parked reservation. | Reservation number. On the report viewer, it is a link to the reservation (see Interactive Reports). |
| Guest Name | The primary guest on the reservation. | Surname in uppercase, then given name in proper case, with no comma and no title, for example SMITH John. The heading follows the Client System Label plus "Name". |
| Arrive | The date the reservation arrives. | Reservation arrival date, printed as day, short month and year, for example 25 Dec 2026. The heading follows the Arrive System Label. |
| Depart | The date the reservation departs. | Reservation departure date, printed in the same format as Arrive. The heading follows the Depart System Label. |
| People | The adults and children on the reservation. | Written as a count of adults and children together, for example 2A 1C, or 2A when there are no children. Infants are never shown. |
| Original Category | The Category the reservation was in before it was parked. Also the group heading. | See What the Original columns show. The heading is "Original" plus the Category System Label. |
| Original Area | The Area the reservation was in before it was parked. | See What the Original columns show. The heading is "Original" plus the Area System Label. |
Above the columns, the report header shows the property or database name, the title Parked Reservations, the selected range as Date: followed by the From and To dates, Group By: Category, and Sort By: Arrive Date. The report has no totals and no count of parked reservations.
Please Note! When nothing is parked within the selected range, the report still builds. It prints a blank Category heading and one row with a Res No of 0 and dates of 01 Jan 0001. That row means nothing parked falls within the selected range, not that the report failed. If the Parked Reservation row on the Booking Chart is not empty, widen the date range and build again.
Data Sources & Calculations
The concepts below govern which rows appear on the Parked Reservations Report and what the Original columns contain.
Which reservations are listed
The Parked Reservations Report lists a reservation when it is parked at the moment the report is built, and its stay overlaps the Parked Reservation Between range. The list reflects the Parked Reservation row on the Booking Chart as it stands when Build is selected.
A reservation that has been unparked never appears, whatever date range is selected, so the report cannot be used to review parking history: the date range narrows the list of reservations that are parked now, and never brings back one that was parked and unparked during that period.
The report applies no reservation status filter of its own: every reservation that is parked when the report is built is listed. On a multi-property database, the Property option filters on the property that owns the reservation's Original Category, which is the property the reservation was in when it was parked. To see when a reservation was parked and unparked, and by which user, open the reservation and use the Reservation Audit Trail.
What the Original columns show
Original Category and Original Area hold the Category and Area the reservation occupied immediately before it was parked. They record where the reservation came from, not where it will go back to. The Unpark window lists only Areas that are free for every night of the stay, so a reservation is not always unparked back into its original Area, and the one named in Original Area can already hold another reservation by the time the report is read. See Park Reservation on the Booking Chart.
Grouping, sorting and the CSV export
The Parked Reservations Report groups its rows by Original Category in alphabetical order, with a heading row for each Category, and sorts the rows inside each group by arrival date. Exporting to CSV changes the layout: the export adds a leading Category column, so the Category appears on every row rather than as a heading, and orders rows by Category name only.
