Overview
The Reservation Production Report provides a detailed view of all reservations produced within a selected date range.
It is designed to help you understand how many reservations are being created, where they are coming from, and how they are performing over time.
This report focuses on production activity (i.e. confirmed/active reservations that have been created or produced in your system), rather than on availability or forecasting. It allows you to review key information for each reservation in one place, and to export the data for further analysis.

Monitoring daily / weekly / monthly reservation volumes
Analysing production by source, channel, or User

Why use the Reservation Production Report?
Use this report when you need to:
Track reservation volumes
See how many reservations were produced in a given period and compare this over time (e.g. month‑on‑month).Understand your production mix
Identify which channels (e.g. direct, online, agent) or sources are generating the most reservations.Support financial reconciliation
Validate that the reservations produced in the system are aligned with your financials, third‑party systems, or operational reports.Audit reservation activity

Important factors to know about the report
When using the Reservation Production Report, please note the following:
Date logic
The report is typically based on the reservation production/creation date, not the arrival or stay dates.
A reservation will appear in the report on the date it was produced (created or confirmed) in the system.
Included reservations
Only reservations that meet the report criteria (e.g. status, date range) will be included.
Depending on your configuration, certain statuses (e.g. cancelled/no‑show) may be included or excluded.
Point‑in‑time vs current state
The report reflects the current state of each reservation at the time you run the report (e.g. current status, current dates/amounts).
It does not reconstruct historical changes (e.g. how a reservation looked on the day it was first created), unless explicitly stated in your configuration.
Time Zone
The report uses your property / account time zone for date and time fields. This may differ from the local time of individual users.
Filters and parameters
Your results will depend on the filters you set (e.g. date range, property, channel, status).
Make sure you double‑check the filters before exporting or sharing the results.
Export behaviour
When exporting, the report will download the data as currently filtered on screen.
Very large date ranges or unfiltered exports can impact performance and export time.

Guide
In the side menu of RMS, go to Reports > Management > Reservations > Reservation Production.
- Select the Report Type.
- Select Arrival Date From OR Reservation Made Between and set the Date Range.
- Select the Reservation Status.
(Optional) Select Department, Travel Agent, Market Segment, Sub Market Segment, Booking Source. - Select Group By.
- Select Sort By.
- Select Build.

Report Columns
The table below outlines the standard columns you can expect to see in the Reservation Production Report, along with a description of each.
Depending on selections made on the report build screen, some columns may not display.

VIP Code |
VIP Codes are used to identify special guests at the Property. |

| Travel Agent | The Travel Agent associated with the reservation, if applicable. |
Res No |
The unique identifier of the reservation in the system. Use this to search for or reference a specific booking. |
Arrival Date |
The check‑in/arrival date for the reservation. |
Departure Date |
The check‑out/departure date for the reservation. |
Nights |
The total number of nights between arrival and departure. |
Category |
The room or apartment type booked for the |
Rate Type |
The Rate Type applied to the reservation (e.g. BAR, Non‑Refundable, Corporate). |
Currency |
The currency in which the revenue and amounts are shown. |
| ARR | The Average Room Rate (ARR) for the reservation. |
| Total Rate | The Total Area revenue associated with the reservation, based on the current reservation data. |

Common questions
A reservation is not appearing the report?
Common reasons include:
The production date of the reservation is outside the selected date range.
The reservation status is excluded by your filter (e.g. you are only including Confirmed reservations).
Filters such as property, channel, or source are set in a way that excludes the reservation.
The reservation has not yet been created/confirmed in the system at the time you run the report.
Try widening your date range and checking your filters first.
Why do the totals in this report differ from other reports?
The Reservation Production Report uses production date and may include/exclude reservations differently to other reports (e.g. Arrivals Report, Revenue/Financial reports). Differences may be due to:
Different date logic (production date vs arrival/departure date vs posting date)
Different status inclusions (e.g. including cancelled vs excluding them)
Differences in filters (properties, channels, market segments)
When comparing reports, always confirm that the date type, date range, and status filters are aligned.
Can I see only online (OTA/website) reservations?
Yes.
Use the Channel and/or Source filters in the report (where available) to select only the channels or sources you are interested in (e.g. OTA, Website). You can then view or export only those reservations.
How often is the report updated?
The report reflects the current live data in your system at the time you run it. Any new reservations or changes to existing reservations will appear the next time you refresh or re‑run the report.
Which date should I use for reconciliation: production date or arrival date?
For reconciling reservation creation activity with external systems (e.g. channel manager logs, RMS Booking Engine reports), you will typically use the Production Date in this report.
For reconciling stays or revenue by stay date, you may prefer to use reports based on Arrival Date, Departure Date, or Posting Date, depending on your specific accounting requirements.
Can I use this report to see expected occupancy?
The Reservation Production Report is NOT designed as an occupancy or forecast report.
It focuses on when reservations were produced, not on how many rooms are occupied on a given date.
For occupancy, please use your Occupancy, Forecast, or Arrivals reports.
