This article describes the Current Area Status report, which shows a live, at-a-glance list of every Area's occupancy status for the day, grouped by Category.
Overview
The Current Area Status report lists every Area in the property, grouped by Category, and shows whether each Area is currently Vacant or has a guest checked into it. Front desk and duty staff run this report to get a same-day view of occupancy without opening each reservation individually.
Please Note! On some RMS databases this report appears in the sidebar as Current Room Status instead of Current Area Status. The report itself is identical - only the menu label differs.

Use Cases
- Checking Area availability before a walk-in or room move - reception can see at a glance which Areas are Vacant right now, without searching the Booking Chart.
- Confirming who is currently in an Area - a duty manager can quickly check the guest name (and their Company or Booking Source) for any occupied Area.
- Spot-checking occupancy for a single Category - use the Category option to narrow the report to one type of Area, such as a specific cabin or room type, instead of the whole property.
How to Access
In the side menu of RMS, go to Reports > Management > Reservations > Current Area Status.
Report Options
The report options below control which Areas appear on the report and what displays alongside the guest name for an occupied Area.
Tip! Report build screens default to a common use configuration, and selections can be made as required.

Report Output
Unlike most RMS reports, the Current Area Status report does not render as a column table. Instead, the output is a list grouped by Category, with one line per Area underneath. Each Area line shows:
- Area - the Area number and name.
- Status - either Vacant, or, if the Area is currently occupied, the guest's name followed by their Company or Booking Source (whichever is selected in Report Options).
The report heads each page with the property name, the report title, and the Date Range selected.

The following concepts govern how the report groups and labels each line.
Category and Area
Categories and the Areas within them are configured under Setup > Category/Area.
See How to Setup Areas in RMS for how Categories and Areas are created and named. The report lists every Area belonging to the Categories selected, in the same grouping as Setup.
Occupancy status
An Area's status reflects whether a reservation is currently checked into that Area for the Date Range selected. A Vacant Area has no active reservation against it for that date. An occupied Area shows the primary guest's name from the reservation.
Company and Booking Source
When an Area is occupied, the second identifier shown next to the guest name comes from the reservation's account. Selecting Company shows the Company linked to the reservation, if any. Selecting Booking Source shows the reservation's Booking Source instead. See the Booking Source Lookup Table for how Booking Sources are configured.
Please Note! This report only shows the current occupant of each Area. It does not show the next reservation due into a Vacant Area. To see the next booking for each Area, run the Area Status Verification report instead.
Related Reports
- Area Status Verification report - audits Area cleaning status and shows the next reservation due into each Area (Reports > Daily > Area Status). Use this instead of Current Area Status if you need to see upcoming bookings, not just who is in an Area right now.
