The Rate Type Detail report lists the full configuration of every Rate Type at a property, including the Rate Tables, price grids and additional guest charges linked to each one.
Overview
The Rate Type Detail report prints the complete rate setup behind each Rate Type in one document. For every Rate Type this report shows the Rate Type level options (Discount, Grouping, lead time restrictions, General Ledger Account Code, Booking Source, Market Segment, Cancellation Policy and Rate Structure), then breaks down each Rate Lookup underneath it with the Category, Rate Period, Rate Table, price grid and additional guest charges that apply.
Revenue managers and reservations managers run the report to audit rate setup: to confirm a rate is priced as intended before it goes on sale, to check the configuration of a rate a guest has queried, or to review the whole rate structure at the start of a season.
Before you begin, note that the report reads the rate setup rather than reservation data, so it can be run at any time. The Rate Types, Rate Periods, Rate Tables and Rate Lookups you want to review need to be configured first: the report prints what is currently saved against each Rate Type.
The report is organised as a repeating pair of bands. A Rate Type summary band prints once per Rate Type, followed by one detail band for each Category and Rate Period combination linked to that Rate Type. Each detail band carries a price grid row and one additional guest row per guest type configured on the Rate Table.

Use Cases
- Audit a rate before it goes on sale - a revenue manager checks the price grid, Person Base and additional guest charges on a new season's rates in one document instead of opening each Rate Table individually.
- Investigate a rate a guest has queried - reservations staff run the report filtered to the Rate Type on the booking to see exactly which Rate Table and price grid produced the amount charged.
- Review lead time and policy restrictions across all rates - the Rate Type summary band lists the Advance Purchase and Last Minute lead times, Cancellation Policy and Market Segment for every Rate Type together, which makes gaps and inconsistencies easy to spot.
- Check which Categories a Rate Type is available for - each Rate Type lists one detail band per Category it is linked to, so a Category with no band has no Rate Lookup for that Rate Type.
How to Access
In the side menu of RMS, go to Reports > Management > Reservations > Rate Type Detail.
Report Options
The report options below control which Rate Periods are included, which properties, Categories and Rate Types are covered, and the order the Rate Types print in. This report has no More Options panel: every option is shown on the Report Options panel when it opens.
Tip! Report build screens default to a common use configuration, and selections can be made as required.

Column Headers
The report output is built from two stacked header bands that repeat for every Rate Type. The Rate Type summary band prints the Rate Type level configuration. The rate detail band prints one row per Category and Rate Period combination, and reuses the same physical columns to carry the additional guest charges on the rows beneath it. The tables below cover each band in turn.
Rate Type summary band
The Rate Type summary band prints once for each Rate Type included in the report. Every value comes from the Rate Type itself, configured at Charts > Rate Manager > Rates > Rate Types. A blank cell means the option is not set on that Rate Type.
| Column | Description | Source / Calculation |
|---|---|---|
| Rate Type | The name of the Rate Type. | Rate Type |
| Discount | The Discount that applies automatically to any reservation using this Rate Type. | Rate Type option: Discount |
| Grouping | The Rate Type Grouping used to report on Rate Types collectively. | Rate Type option: Grouping |
| AP(days) | The Advance Purchase lead time in days. Shows 0 when the Rate Type has no Advance Purchase restriction. | Rate Type option: Advanced Purchase |
| LM(days) | The Last Minute lead time in days. Shows 0 when the Rate Type has no Last Minute restriction. | Rate Type option: Last Minute |
| GL Code | The General Ledger Account Code override on the Rate Type. Blank means revenue reports against the Category's code instead. | Rate Type option: General Ledger Account Code |
| Source Code | The Booking Source that populates automatically on reservations using this Rate Type. | Rate Type option: Booking Source |
| Market Segment | The Market Segment that populates automatically on reservations using this Rate Type. | Rate Type option: Market Segment |
| Cancellation Policy | The Cancellation Policy set on the Rate Type. | Rate Type option: Cancellation Policy |
| Structure | The Rate Structure of the Rate Type: either OTA Rate or Direct Rate. | Rate Type: Rate Structure. See Rate Structure and the price grid. |
Rate detail band
The rate detail band prints once for every Category and Rate Period combination linked to the Rate Type. The first column repeats the Rate Type name as the band label. The remaining values come from the Rate Table used by that Rate Lookup.
| Column | Description | Source / Calculation |
|---|---|---|
| Area Type | The Category the rate applies to. | Rate Lookup: Category |
| Rate Period | The Rate Period name, with the period's start and end dates printed on the line below it. | Rate Period. See Rate Periods and the date range option. |
| Rate Table | The name of the Rate Table that prices this combination. | Rate Lookup: Rate Table |
| Format | The Rate Table Format, for example Nightly, Daily, Extended Stay, Hourly or Per Guest. | Rate Table > Rate Setup: Format |
| Based On | The Rate Table Based On setting, printed without spaces, for example NightOfWeek or NoOfNightsSt. | Rate Table > Rate Setup: Based On. See Rate Structure and the price grid. |
| Person Base | The number of guests included in the base rate before additional guest charges apply. | Rate Table > Rate Setup: Person Base |
| 1st\Mon to 7th\Sun | The seven rate amounts from the Rate Table price grid. The dual header reflects the Based On setting. | Rate Table > Rate Setup price grid. See Rate Structure and the price grid. |
| T\After | Thereafter: the amount applied beyond the seventh night when Based On counts nights. Shows 0 when Based On varies the price by day of the week. | Rate Table > Rate Setup price grid. See Rate Structure and the price grid. |
Additional guest rows
Beneath each rate detail row the report prints one row per guest type configured on the Rate Table, such as Adults and Child. These rows reuse the same physical columns as the rate detail row above them, under a second set of headers that begins with Additionals. Every value comes from Rate Table > Additionals.
| Column | Description | Source / Calculation |
|---|---|---|
| Additionals | The guest type the row covers. The guest types available come from the property's occupant and Additional Charge Labels. | Rate Table > Additionals: guest type column |
| Base | The number of guests of that type included in the base rate. Not populated on the Adults row. | Rate Table > Additionals: Base |
| Inc | Whether the guest type is included in the base rate: yes or no. Not populated on the Adults row. | Rate Table > Additionals: Include In Base |
| GL Code | The General Ledger Account Code the additional guest charge reports against. | Rate Table > Additionals: G/L Acc Code |
| Show | Whether the charge appears as its own line on the guest's account: yes or no. | Rate Table > Additionals: Show On Account |
| Min | The minimum number of that guest type permitted per Area. | Rate Table > Additionals: Min No. Allowed |
| Max | The maximum number of that guest type permitted per Area. | Rate Table > Additionals: Max No. Allowed |
| 1st, 2nd, 3rd, 4th | The charge for the first, second, third and fourth additional guest of that type beyond the Person Base. | Rate Table > Additionals: 1st, 2nd, 3rd and 4th Additional |
Data Sources & Calculations
The following concepts each govern more than one column on the report.
Rate Periods and the date range option
Which rows appear on the report is driven by the two radio options at the top of the Report Options panel. Rate Type Period Date Range, the default, restricts the report to Rate Periods that fall inside the date range field beneath it. Show All Rate Type includes every Rate Period regardless of its dates and disables the date range field.
A Rate Period set as All Year Round has no start or end date, so the report prints its dates as 01 Jan 00-01 Jan 00. This is expected for an All Year Round period and does not indicate a setup problem.
The report header repeats the date range in use, printed as From and To beneath the report title, so a printed copy records which Rate Periods it covered.
Rate Structure and the price grid
The seven price columns are headed 1st\Mon through 7th\Sun because the same columns serve two different price grids. Which one applies is set by the Based On value on the Rate Table, and the Based On options available are in turn limited by the Rate Structure of the parent Rate Type.
- When Based On varies the price by day of the week, for example Night of the Week, read the columns as Monday through Sunday. The T\After column shows 0 because a day-of-week grid has no thereafter amount.
- When Based On counts nights or days, for example No of Nights, read the columns as the 1st through 7th night and T\After as the amount applied from the eighth night onward.
An OTA Rate structure offers a smaller set of Formats and Based On options so that rates stay compatible with every channel connection in the RMS Channel Manager. A Direct Rate structure offers the wider set used inside RMS, on the RMS Booking Engine and with selected channels. A Rate Type and Rate Table can only be linked in a Rate Lookup when both use the same Rate Structure, so the Structure column on the Rate Type summary band also tells you which price grid options the Rate Tables beneath it can use.
Additional guest charges
The additional guest rows report the per-guest-type configuration on Rate Table > Additionals. Extra guests are worked out from the Person Base on the Rate Table together with the Base and Include In Base settings for each guest type: a guest type not included in the base is always charged as an additional guest.
The Adults row leaves the Base and Inc columns blank because the Rate Table's Additionals tab does not offer those two fields for the Adult guest type. The number of adults covered by the base rate is set by Person Base on the Rate Setup tab instead, which the report prints on the rate detail row above.
Please Note! The report prints the additional guest amounts configured on the Rate Table. It does not show the Nightly or Weekly charge style selected for those amounts, so a Rate Table charging additional guests weekly prints the same figures as one charging nightly.
Working with the output
Selecting Build renders the report on screen in the report viewer. Because the report prints a full band for every Rate Type, Category and Rate Period combination, it grows quickly on properties with a large rate structure: a single property with 27 Rate Types produced 21 pages. Narrow the Rate Type and Category options before building when you only need part of the rate setup.
Tip! Use the export control in the report viewer toolbar to save the report as a PDF or CSV file. Selecting Build renders the report on screen only and does not download a file.
