Additional Pricing Options in RMS allow the system to automatically calculate charges for extra guests as part of the rate calculation.
Overview
These charges are determined based on the occupant types defined in the Labels section of your database (e.g., Adults, Children, Infants).
In addition to the standard occupant labels, Additional Charge Labels can be customised to represent other guest types or categories. These are flexible Accounting Labels that can be used to track and charge for guests beyond the default categories (e.g., Pets, Vehicles).
By configuring Additional Charge Label pricing in the Rate Table setup, RMS can automatically include these charges in the reservation’s total cost, ensuring accurate and consistent billing for all guest types.
Configuration
In the side menu of RMS, go to Charts > Rate Manager.
- Select the Rates icon.
- Choose Rate Tables.
- Highlight a Rate Table and choose Edit.
- Navigate to the Additionals menu.
- (Optional) Enter the Number of Guests Included in Base.

(Optional) Select the checkbox Include in Base.
- Extra guests are determined based on the Person Base set in the Rate Table and the Included in Base settings on the Additionals tab.
- Guest types not selected to be included in the Person Base will always be charged as additional guests—even if the total Person Base exceeds the number of guests in that category on the reservation.
- (Optional) Select a G/L Account Code.
- (Optional) Select the checkbox Show on Account.

(Optional)Enter the Minimum Guests Allowed.
- Use the Minimum and Maximum Allowed settings to define the permitted number of each guest type per Area.
- For example: If a Category has a maximum occupancy of 4, you could set a minimum of 1 Adult and a maximum of 3 Children.
- (Optional) Enter the Maximum Guests Allowed.
- Select a Charge Style.
- Enter the Additional Guest Prices.
- Repeat Steps 5-12 for each Additional Guest Type.
