This article describes the Occupancy Report grouped by Category, which is the default view of the report and shows occupancy and Operational Revenue figures for each Category in a property.
Overview
The Occupancy Report grouped by Category shows one row per Category with occupancy and Operational Revenue figures rolled up for the selected date range. This is the default Occupancy By selection on the report. Each row can be expanded to view the individual reservations contributing to that row's figures.
For the full description of the report, the report options panel, the Data Sources & Calculations that govern shared columns, and how the Operational Revenue model differs from Financial Revenue, see the main Occupancy Report article.
Important! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Use Cases
- Category mix comparison - Operations runs the report for a month to compare utilisation across category types (for example, Cabins vs Event Spaces vs Campground sites), where the Period column will switch between Days and Hours depending on whether the Category is charged by hour.
- Revenue by accommodation type - the Revenue Manager runs the report to see how each Category contributes to Gross and Nett Revenue, Discount, and Taxes for the period.
- End-of-month performance review - the General Manager runs the report at month-end to see RevPAR and Occ % per Category and identify which Categories need a pricing or marketing adjustment.
How to Access
In the side menu of RMS, go to Reports > Management > Statistics > Occupancy.
On the Report Options panel set Occupancy By to Category (this is the default). Select Build.
Column Headers
The columns below appear on the report output when Occupancy By is set to Category. The Source / Calculation column references the concepts under Data Sources & Calculations in the main Occupancy Report article rather than repeating them here.
| Column | Description | Source / Calculation |
|---|---|---|
| Description | Category name. | Setup > Category Setup. |
| Period | Unit used to count Avail and Used: Days for room/site Categories, Hours for hour-based Categories such as Event Spaces. | Set by Category Setup > Charge by Hour. |
| Area | Count of Areas in the Category. | Setup > Category Setup > Areas. |
| Avail | Available unit-periods over the date range. | See Available capacity. |
| Maint | Unit-periods consumed by Maintenance reservations. | Maintenance reservations on Areas in the Category. |
| Used | Unit-periods occupied by reservations counted toward occupancy. | See Used capacity. |
| Unused | Available capacity not consumed. | Avail − Used − Maint (when Maint is excluded from Avail). |
| RevPAR | Revenue Per Available Room. | Gross Revenue ÷ Avail. |
| Occ % | Occupancy percentage. | (Used ÷ Avail) × 100. See Available capacity for what Avail includes. |
| Discount | Total discounts applied to reservations counted in this row. | Reservation account transactions whose GL code has 'Include in Accommodation Revenue for Reporting' enabled. |
| Taxes | Total taxes on Operational Revenue for this row. | Tax transactions on the same reservation accounts. |
| Gross Revenue | Operational Revenue including taxes. | See Operational Revenue. |
| Nett Revenue | Operational Revenue excluding taxes. | Gross Revenue − Taxes. |
| Gross Avg (RevPOR) | Gross Revenue Per Occupied Room. | Gross Revenue ÷ Used. |
| Nett Avg (RevPOR) | Nett Revenue Per Occupied Room. | Nett Revenue ÷ Used. |
| Avg LOS | Average Length of Stay for reservations in this row. | Sum of nights stayed ÷ count of reservations. |
| Conf % | Share of the Used figure that comes from Confirmed reservations. | Reservation status counts. |
| Occupants | Total guests counted across reservations in this row. | See Occupants. |
Please Note! The Area count reflects how many Areas belonged to each Category during the selected date range - not necessarily the current setup. If Areas have been moved to a different Category since the report date, historical reports will show a different Area count. This also affects the Avail, Occ %, and RevPAR figures for those Categories. This is expected behaviour.
Tip! When Occupancy By is set to Category, the Breakdown Adult/Child/Infants and Replace Occupants with Guest Nights options become available on the More Options panel - both reshape the Occupants column.
Please Note! The Occupancy Report uses Operational Revenue and will not match Financial Revenue reports such as the Charges or Night Audit reports for the same date range. See Operational Revenue in the main Occupancy Report article for the rules that govern when revenue applies.
