To make an Area Inactive, you will need to move the Area to an inactive Category in RMS.
Overview
To remove a single Area (for example, one room or site) from availability without deactivating the whole Category, move that Area into a dedicated inactive Category.
An Area is a physical space that can be reserved within a Category.
Area is a user-definable label, so it may be renamed to suit your property, for example, Room, Apartment, Site, Suite, Cabin, Listing, House, Bed, or Rental.
A Category defines the type of physical space available for a Reservation at the Property.
Category is also a user-definable label and may be renamed to something like Room Type, Apartment Type, Site Type, Suites, Cabin Type, Cabins, Listing Type, House Type, or Dorm.
Once a reservation has been assigned to an Area, that Area can no longer be deleted. Instead, move it into a Category that is set as inactive. This removes the Area from the Booking Chart while keeping its historical reservations intact.
We also recommend disabling Statistics for an Area once it is no longer in use in the database.
Before you begin
This guide assumes an inactive Category already exists to hold Areas that are no longer in use. If one does not exist yet:
- Create a new Category (for example, Inactive Areas). This Category is only used to hold retired Areas and will not be used for new reservations.
- Make the new Category inactive by turning its Active toggle off - see How to Make a Category Inactive in RMS.
- Log out of RMS and log back in so the new Category is available to select.
Guide
In the side menu of RMS, go to Setup > Category/Area.
- Select the pencil icon next to the Category that contains the Area you want to deactivate.
- Select the Area tab.
- Select the Area you want to deactivate.
- Select the Move icon (a plus symbol with arrows at the end of each point)
- Select the inactive Category to move the Area into (for example, Inactive Areas).
- Select Apply (the tick icon) to confirm the move
After the move, the Area no longer appears on the Booking Chart or when making new reservations, and all historical reservations stay in place.
Once all unused Areas have been moved, confirm the holding Category is set as inactive so the moved Areas no longer appear on the Booking Chart or when making new reservations - see How to Make a Category Inactive in RMS.
