This article explains how to make a Category inactive in RMS when it is no longer needed for new reservations.

Categories (also referred to as Rental Types, Site Types or Facilities depending on your property setup) cannot be deleted once a reservation has been made against them. This preserves historical data and reporting integrity. Instead, you can make a Category inactive so it no longer appears as an option when making new reservations, while all existing reservation history is kept.

Make a Category Inactive

Use this process to deactivate an entire Category (Rental Type, Site Type or Facility). Once inactive, the Category will no longer appear when making new reservations but will remain in historical reports.

1. In the side menu of RMS, go to Setup > Category/Area.
2. Select the pencil icon next to the Category you want to make inactive.
3. In the top-right corner of the edit window, toggle the Active switch off.
4. Select Save/Exit to save the change.

Make an Individual Area (Rental Number) Inactive

To remove a specific Area (for example, a single room or site) from availability without deactivating the entire Category, move the Area into a dedicated inactive Category.

Before you begin: If you do not already have a Category set up to hold inactive Areas, create one first - for example, a Category named Inactive Areas. Make sure this Category has its Active toggle turned off (see Make a Category Inactive above).

1. In the side menu of RMS, go to Setup > Category/Area.
2. Select the pencil icon next to the Category that contains the Area you want to deactivate.
3. Select the Area tab.
4. Select the Area you want to deactivate.
5. Select the Move icon (a plus symbol with arrows at the end of each point).
6. Select the inactive Category to move the Area into (for example, Inactive Areas).
7. Select Apply (the tick icon) to confirm the move.

After the move, the Area no longer appears on the Booking Chart or when making new reservations, and all historical reservations stay in place. For the full process of moving Areas, see Move an Area to an inactive Category.
