How to display the Hold tab on reservations in RMS, and how a Hold affects charges, Housekeeping and reporting.
Overview
The Hold tab on the Reservation Screen enables properties to view and manage Holds placed on a reservation.
Holds are used for FIFO (Fly In, Fly Out), student accommodation or other operations, where an Area remains assigned to a Guest, and they go off site for lengths of time.
For example, a worker on a FIFO roster might be booked for a month but return home at weekends: the reservation covers the whole period including the weekends, and a Hold is placed over the dates the worker is not on site.
Using a Hold instead of shortening the reservation keeps the Area assigned to the same Guest for the full booking, and records exactly which nights the Guest was away.
How Holds work on reservations
A Hold does not cancel or shorten the reservation. It marks the selected dates as time the Guest is off site, and RMS adjusts charges, Housekeeping and reporting accordingly.
Charges
A charge can be applied for the Hold dates if required. Properties that continue to bill for the Area while the Guest is away can charge the Hold period; properties that do not bill for time off site can leave the Hold dates unbilled.
Housekeeping
When the Area goes on Hold, a Departure Clean is scheduled automatically.
When the Hold ends, a Pre Arrival Check is scheduled automatically.
Both are standard Housekeeping Tasks, so the Area is cleaned after the Guest leaves and checked before the Guest returns.
To keep the existing Housekeeping schedule in place instead, select the option 'Don't Update Housekeeping Schedules' when enabling the Hold tab (see the Guide below).
Where Holds are displayed

Activating the Hold option
In the side menu of RMS, go to Setup > Property Options > General Information.
- Navigate to the 'Reservation Defaults' tab.
- Select the checkbox 'Show Hold Tab'.
(Optional) Select the checkbox 'Don't Update Housekeeping Schedules'. - Select 'Save/Exit'.
Log back in to ensure the database updates and reflects the modifications.
Adding a Hold to a Reservation
Open the Reservation in RMS.
- Navigate to the Hold tab.
- Select Add.
- Select the Leaving date.
- Select the Returning date.
(Optional) Select the Rate Type if a charge will apply for the Hold dates.
The Rate section will fill for each Hold date after selecting a Rate Type. - Select Save/Exit.
Booking Chart Display
When a Hold is on a reservation, the Booking Chart shows a yellow background behind the reservation across the Area.
