This article describes the Top X Guests report, which ranks a property's highest value guests by either total revenue or number of visits over a recent number of weeks.
Overview
The Top X Guests report displays a list of a property's best performing guests for a recent period, one row per guest, ranked from highest to lowest. For each guest the report shows their name, the address and contact details held on their Guest Profile, the number of visits they recorded in the period, and the total revenue attributed to those visits. It is a guest level ranking, not a list of individual bookings.
Two report options control the ranking. Show Top sets how many guests to list, and Sort By decides whether the list is ordered by revenue or by number of visits. Both selections are reflected in the report headings, so a report built with the default options is titled "Top10 Guest" and subtitled "For the last Top 8 Weeks, Ordered By Total Income".
Run this report when you need a short, current list of guests worth recognising or targeting, rather than a full transaction level breakdown. It is typically run by management or marketing teams.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Use Cases
- Loyalty recognition - at the end of a quarter, management runs the report to identify the guests who spent the most, so they can be acknowledged with an upgrade or a thank you.
- Targeted marketing list - marketing runs the report before a campaign to build a short list of high value guests, using the address and contact details shown on each row.
- Repeat guest analysis - switching Sort By to No Of Stay surfaces the guests who return most often, which is not always the same group as the highest spenders.
- Segment comparison - limiting the Category selection shows the top guests for one part of the property, for example cabins only, rather than the whole site.
How to Access
In the side menu of RMS, go to Reports > Management > Statistics > Top X Guests.
Report Options
Select Build to run the report, Schedule to email it on a recurring basis as a PDF or CSV, or Exit to leave the screen. Selecting Add Report to Favourites Menu adds a shortcut to the report for the current user.
Tip! Report build screens default to a common use configuration, and selections can be made as required.

|
| Show Top | Text | 10 | The number of guests to list. The value appears in the report title, for example "Top10 Guest". |
| For weeks | Text | 8 | The length of the reporting period in weeks. The value appears in the report subtitle, for example "For the last Top 8 Weeks". |
Column Headers
The report produces one row per guest, ordered by the Sort By selection. Where a value depends on a report option or a setting elsewhere in RMS, the Source / Calculation column points to the relevant concept under Data Sources & Calculations.
| Column | Description | Source / Calculation |
|---|---|---|
| Name | The guest's name. Where the guest is linked to a Company or Group, that name is shown on the line above the guest name. | Guest Profile |
| Address | The address held on the guest's profile, followed by their mobile number and email address where those details are recorded. Guests with no address recorded show only their contact details. | Guest Profile |
| Visits | The number of visits the guest recorded within the reporting period. | See Visits and Total Revenue |
| Total Revenue | The total revenue attributed to the guest's visits within the reporting period. | See Visits and Total Revenue |
Data Sources & Calculations
Reporting period
The For weeks option sets the length of the reporting period, and the report subtitle confirms the period that was used. A guest only appears on the report if they recorded a visit inside that period, so a long standing guest with no recent stay will not be listed even if their lifetime spend is high. Widen the period to include older stays.
Visits and Total Revenue
Visits and Total Revenue are the guest level figures RMS holds against each Guest Profile. The same two figures are shown as No of Visits and Total Income in the Guest Stats window, which can be opened from a reservation or a guest profile. See View guest stats from a reservation for the full list of statistics held against a guest.
On this report both figures are restricted to the reporting period and to the selected Property and Category, so they will usually be lower than the lifetime totals shown in Guest Stats.
How guests are ranked
The Sort By selection changes the order of the rows and the wording of the report subtitle, but it does not change which guests qualify for the report. Because the two rankings are independent, a guest who visits often at a low rate can rank highly under No Of Stay while sitting well down the list under Total Revenue.
Please Note! This report ranks guests only within the selected reporting period, Property and Category. It is a snapshot of recent activity rather than a measure of a guest's lifetime value as a customer.
