Set the default number of adults to pre-fill on new reservations in RMS.
Overview
The Default No of Adult setting specifies how many adults are automatically entered when a new reservation is created. Configuring this reduces manual data entry for properties where reservations typically include a consistent number of guests.
Default No of Adult is a system-wide setting configured in General Information. The setting cannot be applied per Rate Type or per rate.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Prerequisites
- Access to Setup > Property Options > General Information in RMS.
- The number of adults the property wants pre-filled on new reservations.
Steps
In the side menu of RMS, go to Setup > Property Options > General Information.
- Navigate to the Reservation Defaults tab.
- Enter the required value in the Default No of Adult field.
- Select Save/Exit.
-
Please Note! To apply the updated configuration, Users must log out of RMS and then log back in. The new default applies to new reservations only. Existing reservations are not affected.
Where the Default Number of Adults Applies
The default pre-fills the Adults field wherever a new reservation is created in RMS, including:
- The Add button in the toolbar.
- Booking Chart: Add Reservation.
- The Availability Chart.
- Quick Quote.
- The RMS Booking Engine, where the guest selector starts at the default value when choosing the number of people.
- Event reservations created in Event Management.
Please Note! Tour bookings made through Tour Desk do not use this setting. Tour guest numbers are determined by the Ticket Type selected, which carries its own adult, child, and infant counts.
Choosing the Right Default
The value you choose affects occupancy accuracy, revenue, and how often reservation agents are prompted to confirm guest numbers. For example, a property where most bookings are couples would set the default to 2, so the Adults field reads 2 on every new reservation and the agent only changes it for solo travellers or larger groups.
| Default | Benefit | Consideration |
|---|---|---|
| 0 | Prompts the user to confirm guest numbers on every reservation. If the Adults field is set as mandatory, a message will display asking for the adult amount before the booking can be saved. | Adds a step to every booking. |
| 1 | Matches properties where solo travellers are the most common booking. | Agents may not ask how many people are staying, which can result in lost revenue where additional adults or children attract extra charges. |
| 2 | Matches properties where couples are the most common booking. | May overinflate the recorded number of people at the property, which can affect emergency evacuation procedures. |
Please Note! Where a base rate is priced for one person with charges for additional guests, an incorrect number of adults or children on the reservation can result in extra person charges being missed. Always confirm guest numbers when taking a booking.
