How to configure Default Arrival and Departure Times for reservations in RMS
Overview
Default Arrival and Departure Times automatically populate the arrival and departure times on all new reservations based on the selected settings.
Please note that any changes made to these default times will only apply to reservations created after the changes are saved - existing reservations will remain unaffected.
These default times are also used to calculate early check-in and late check-out fees when a reservation status is updated to Arrived or Departed.
Tips for Configuring Default Times
The default departure time must be set earlier than the arrival time to ensure proper system functionality.
These times are not restrictive - you can still check guests in before the set arrival time or check them out after the set departure time if needed.
If your arrival and departure times vary by rental category, enable the "Use Category Default Times" option. This allows you to configure specific default times at the category level for more flexibility.
This can lead to conflicts with back-to-back reservations, as the system may not recognize proper check-out and check-in sequencing.
Guide
In the side menu of RMS, go to Setup > Property Options > General Information.
- Navigate to the Reservation Defaults menu.
- Select the Default Arrival and Departure Times.
- Select Save/Exit.
Optional Settings
Use Category Default Times
- When "Use Category Default Times" is selected, each Rental Category must be individually set up with specific Default Arrival & Departure Times, allowing for greater flexibility based on category-specific check-in/check-out requirements.
Hide Times on Main Reservation Screen
- Enabling "Hide Times on the Main Reservation Screen" will remove the arrival and departure time fields from the reservation interface. As a result, Users will not be able to record early or late arrival/departure times unless this information is manually entered in the Notes or ETA field.
