This article describes the Occupancy Report grouped by Area, which shows availability and occupancy figures for each individual Area in the property for the selected period.
Overview
The Occupancy Report grouped by Area shows one row per Area (cabin, room, site, apartment, or other accommodation unit) with availability, used capacity, and occupancy percentage for the selected date range. This is the most granular layout of the report - it shows individual Areas rather than rolled-up groups, and is useful for spotting which specific units are over- or under-utilised.

Use Cases
- Identify under-utilised Areas - the Operations Manager runs the report for the previous quarter with Occupancy By set to Area to find specific cabins, rooms, or sites that are consistently below the property average. Candidates for re-pricing, repositioning, or marketing focus.
- Plan maintenance windows - identify low-occupancy Areas where a Maintenance reservation can be placed with minimal revenue impact.
- Compare same-category performance - within a single Category (for example, two adjacent Cabins of identical layout), compare which Area is preferred by guests and investigate any patterns (view, proximity to amenities, recent reviews).
How to Access
In the side menu of RMS, go to Reports > Management > Statistics > Occupancy. On the Report Options panel set Occupancy By to Area. Select Build.
Column Headers
The columns below appear on the report output when Occupancy By is set to Area. The Source / Calculation column references the concepts under Data Sources & Calculations in the main Occupancy Report article rather than repeating them here.
