How to build the Event Orders report from the main Reports menu to produce Event Orders for multiple events in a single report.
Overview
The Event Orders report is a bulk version of the Event Order report. It is accessed from the main Reports menu and allows a property to produce Event Orders for many events in a single build, filtered by date range, property, area, event type, event name, and more.
The report output is the same as the Event Order built from an individual Event reservation, with page numbers restarting for each event in the bulk output.
Use this report when you need to:
- Print or send Event Orders for all events on a given date, week, or month.
- Produce a batch of Event Orders for a specific event coordinator, property, or event type.
- Review upcoming events in bulk rather than opening each event reservation one at a time.
A user must have the Report_EventManagement_EventOrderReport function enabled on their Security Profile to build this report.
Prerequisites
Before building the Event Orders report, confirm that the following are in place:
- Event reservations have been created for the period being reported on. See Create an Event Reservation.
- Master Tasks have been added to the relevant event reservations. See Add Master Tasks to an Event Reservation.
- Optional: an Event Order Footer is available if you want terms and conditions, cancellation policy, or a signature block appended to each Event Order.
- The user's Security Profile has access to the Event Orders report.
Report Options
The Event Orders report Build screen includes the following options:
| Option | Default | Description |
|---|---|---|
| Date Range | Today | Multi-date select. Controls which event reservations are included, based on the event date. |
| Property | All selected | Limits the report to events at selected properties. Useful in multi-property setups. |
| Areas | All selected | Limits the report to events booked against the selected event areas. |
| Event Type | None selected | Filter to events of specific types (e.g. Wedding, Conference, Meeting). |
| Event Name | None selected | Filter to specific named events. |
| Order Footer | Not selected | Appends the selected Event Order Footer (terms and conditions, cancellation policy, signature block) to the output. Only one Order Footer can be selected at a time. |
| Sort By | Defaults to Property | Controls the order of events in the report. Options: Property, Coordinator, Event Status. |
More Options
Expand More Options to reveal tick-box toggles that control which detail sections appear on each Event Order in the output. All toggles are unticked by default.
| Toggle | What it includes |
|---|---|
| Include Task Details | Adds full task detail for each Master Task on the event reservation. |
| Include Task set to "Runsheet Only" | Includes Master Tasks that are flagged as Runsheet Only. By default these tasks are hidden from the Event Order because they are back of house items. |
| Include Sundry Notes | Adds any sundry item notes recorded against tasks. |
| Include Menu Description | Adds the Event Menu description text. |
| Include Full Menu | Adds the full menu content (all courses and items) rather than a summary. |
| Include Menu Notes | Adds menu-specific notes (e.g. dietary, allergy, preparation notes). |

Report output
The Event Orders report produces the same output as the Event Order built from a single Event reservation, one Event Order per matching event, concatenated into a single report.
When multiple events are printed, page numbers restart for each event so each Event Order reads as a self-contained document.
