Configure Access Options and Overrides for Discounts, Requirements, Correspondence, Users, and Security Profiles in RMS.
Overview
Access Settings allow users to control whether a Category, Area, Security Profile, or other entity is included, excluded from features such as:
- Discounts
- Rate Types
- Requirements Triggered
- Correspondence
- Users Enterprise Access (via Security Profiles)
These features include predefined access settings, and the access settings pop-up allows you to modify or override settings at the time of function creation.
These settings are typically selected when creating a new record and can be updated at any time.
- Include = Adds the entity to all applicable records for the selected feature.
- Exclude = Removes the entity from all applicable records for the selected feature.
How to Edit or Override Access Settings
To edit Categories, Discounts, Rate Types, and other similar settings.
- Navigate to the relevant section in RMS (e.g., Setup > Category/Area, or other applicable menu).
- Select Edit on the record you want to update.
- Locate the Access
option.
- For each Access Type, choose Include or Exclude.
- Select Apply.
- Save your changes.
Editing Security Profile Access
For editing access to Discounts, Rate Types, Correspondence, and VIP Codes, which are security profile-specific:
- Navigate to Setup > Users > Security Profiles.
- Select Edit on an existing Security Profile.
- Locate and enable Allow Access to Enterprise Property to share Loyalty Credits, Gift Cards, and Guest Credits across all properties.
- Save changes.
Log back in to ensure the database updates and reflects the modifications.
Examples
Category
Exclude a Category in Discounts to ensure promotional pricing applies.
Rate Type
Include Security Profiles and Travel Agent in Rate Type to ensure correct pricing and permissions.
Form Letters
Include a Security Profile in Form Letters to allow users access to the letter.
