Generating statements for Guest Loyalty by Points in RMS.
Overview
Guest Loyalty by Points is an optional module that offers a loyalty points program, which can be managed within RMS. The loyalty program is a points system that can have point accrual, redemption, and depreciation tailored to suit the property's requirements.
Guests can be enrolled in the Guest Loyalty by Points program within RMS, or enrol themselves on the RMS Booking Engine or in the Guest Portal. In some databases, this program may be labelled “Guest Rewards”, but it uses the Guest Loyalty by Points module and follows the same setup and behaviour described in this article.
Guests will accrue points for charges where the allocated General Ledger Account Codes are set to be included in Loyalty Calculation, and the Bill To option on the account is Guest.
The Bill To field controls who is responsible for the account (for example, Guest, Company, or Travel Agent). Only accounts where Bill To = Guest will earn loyalty points. Loyalty reward points are not earned on accounts paid by a Company or Travel Agent.
You can view and update the Bill To on a reservation by opening the reservation account in RMS and checking the Bill To field on the account header.
Blackout dates or Promotion periods can be added to disable point accrual and redemption, or reward loyalty with more points than normal.
Statements can be exported, emailed, or printed as required.
Prerequisites
Before generating Guest Loyalty by Points statements, ensure the following configuration is complete:
Guest Loyalty by Points module enabled
The Guest Loyalty by Points module must be activated and configured for your property.

GL Account Codes included in Loyalty Calculation
Only charges posted to General Ledger (GL) Account Codes that are marked as included in Loyalty Calculation will accrue points.In RMS, open each GL Account Code that should earn loyalty points.
Select the option to include in Loyalty Calculation (wording may vary slightly depending on your configuration).
Save your changes.

Bill To set to Guest
For points to accrue:Open the reservation account in RMS.
Confirm the Bill To field is set to Guest.
If Bill To is set to Company or Travel Agent, the stay will not earn loyalty points, and those points will not appear on statements.
Guide
Follow these steps to generate Guest Loyalty by Points statements.
In the side menu of RMS, go to Reports > Loyalty > Bulk Statements.
- Select the Date Range for the activity you want to include on the statements.
- Optional: Select 'Exclude 0 Points Balance Statements' to exclude guests with a zero current points balance from the output.
- Optional: Select 'Email Statement if Recipient has an Email Address' to automatically email statements to guests who have an email address recorded.
- Select 'Build' to generate Guest Loyalty by Points statements.
Once generated, statements can be:
Viewed on screen,
Exported, or
Printed or emailed as required.
