Information on Traces and them to Guest Profiles in RMS.
Overview
A Guest Trace is an inter- or intra-departmental note used to communicate or delegate tasks within or between departments. Traces can be tracked and managed through the Guest Profile or the To Do Chart.
Each Trace can be assigned to a department, optionally linked to a specific User, and configured to send a notification to that Users Message Centre.
Traces offer several features:
Assign a Due Date or set a Repeat Frequency within a specified date range.
Mark as Completed by users with the appropriate security access.
Use Trace Templates to pre-fill Trace details. Templates can be set up per Department and associated with specific areas, reservations, guests, Companies, Groups and Travel Agents.
Only templates assigned to the selected Department will be available for use.

Configuration
A Guest Profile is a centralized record of a guest who has booked or stayed at the property. It includes guest details shown on the reservation, along with additional information and management options.
- Click on Guest No in the Reservation screen.
- Navigate to the Requirement/Trace tab on the Guest Profile.
- Click Add Trace.
- Select a Department.
(Optional) Select a Trace Template. - Enter a Description.
- Enter a Long Description.
- Select a Due Date or a Date Range.
(Optional) Select a Repeat Frequency (if using Date Range).
(Optional) Assign a User and select Send To Message Centre. - Select Save/Exit.
