Easily create reservations for past and present guests, using the Smart Search functionality.

Overview

The Smart Search feature in RMS enables users to quickly locate and insert existing Guest Profiles into new reservations using commonly available details such as name, email address, or phone number. This functionality improves efficiency, enhances data accuracy, and streamlines the reservation process.

Smart Search fields are indicated by the icon.

If a potential duplicate profile is identified, Users have the option to Guest Merge to maintain clean and consistent guest records.

More Information

RMS allows users to assign the same Guest Profile to multiple reservations without restriction. This flexibility supports a variety of common use cases, including:

• Master Reservations – When a single guest books multiple rooms, but a full guest list is not yet available at the time of booking.

• Repeat or Copied Reservations – When the same guest stays multiple times, across different time periods.

It is expected that users assigning a Guest Profile to a reservation do so with an appropriate understanding of the guest’s identity and booking intent.

If multiple guest profiles have been unintentionally created for the same individual, the Guest Merge Utility can be used to consolidate them into a single, accurate record.

The Auto Guest Merge utility can be configured to run on an ongoing basis, automatically identifying and merging duplicate guest profiles based on the match criteria you specify.
