The To Do Chart provides a central overview and management of Packages, Requirements, Traces and Meal Plans at a Property. The To Do Chart includes views for Reservation Requirements, Non-Reservation Requirements, Packages, Meal Plans, Traces or all and can be filtered to only display outstanding or completed Traces or Requirements.

Accessing the To Do Chart
The To Do Chart can be accessed from the side menu of RMS or by selecting the 'To Do Chart' icon within the Toolbar Menu.
- Go to Charts > To Do Chart in the side menu.
- Select a Property, if you are operating within a multi-property enterprise.
- Select a Display View.
- Res Requirements
- Non Res Requirements
- Packages
- Meal Plan
- Traces
- (All)
- Select Status View.
- Completed
- Outstanding
- (All)
- Select a Calendar Display View.
- Day
- Week
- Month
To Do Chart Icons
Icon | Function |
The 'Add' icon will allow the user to create a Requirement or Trace on the To Do Chart. | |
The 'Daily Requirements' icon can be used to view all Packages, Requirements or Traces for a set date and gives the option to edit listed Requirements and Traces or print the Requirements List. | |
The 'Monitored Requirements' icon will display all Requirements with the checkbox 'Monitor this Requirement' selected. | |
The 'Data Window' icon will display additional Requirements or Trace information when hovering over an entry on the To Do Chart. | |
The 'Filter' icon will allow the user to filter master requirements on the To Do Chart. | |
The 'Legend' icon will display the reservation status. | |
The 'Print' icon will allow the user to print the requirements list report. | |
The 'Refresh' icon will update the To Do Chart. | |
The 'Exit' icon will exit the To Do Chart. |
Adding Requirements
Ad hoc Requirements not associated to a Reservation, Company, Travel Agent or Guest can be created on the To Do Chart to manage tasks between Users.
- Select the 'Add' icon.
- Select Add Requirement.
- Select an existing Requirement.
- Optional: Update the Description.
- Confirm the 'From Date' & time.
- Confirm the 'To Date' & time.
- Select the Property.
- Optional: If this is Required Daily based upon the date range selected, check the box.
- Optional: Select the box to add this requirement to the Master Requirement List.
- Optional: Select the box to 'Monitor this Requirement'
- Monitored requirements are same day requirements that allow a user to mark the requirement as completed.
- Select 'Completed Requirement' upon completion of a monitored requirement.
- Select the 'Save/Exit' icon.
- The requirement will now appear on the To Do Chart.

Adding Traces
Ad hoc Traces not associated to a Reservation, Company, Travel Agent or Guest can be created on the To Do Chart to manage tasks between Users.
- Select the 'Add' icon.
- Select Add Trace.
- Select a Department for the Trace.
- Optional: Select a Template for the Trace.
- Enter a Description for the Trace.
- Enter a Long Description for the Trace.
- Select Due Date or Date Range for Trace.
- If using a Date Range, select the repeating frequency for the trace.
- Assign the Trace to a User.
- Optional: Select to notify the user through the Message Center.
- Select the 'Save/Exit' icon.
- The Trace will now appear on the To Do Chart.

Daily Requirements
Daily Requirements can be used to view all Packages, Requirements or Traces for a set date and gives the option to edit listed Requirements and Traces or print the Requirements List.
- Select the 'Daily Requirements' icon.
- Select the Property.
- Select the Requirement Date.
- Select a Filter View.
- Res Requirements
- Non Res Requirements
- Packages
- Meal Plan
- Traces
- (All)
- Optional: Select the 'Edit' icon to modify the existing requirement.
- Optional: Select the 'Delete' icon to delete the selected requirement.
- Optional: Select the 'Print' icon to print the requirements for the date selected.
Important Information! Packages and Requirements for a Property setup with an Alternate Currency will display values in the local currency. |
Monitored Requirements
Monitored Requirements will display all Requirements with the checkbox 'Monitor this Requirement' selected. From the Monitored Requirements screen, users can mark monitored requirements as completed either individually or in bulk.
- Select the 'Monitored Requirements' icon.
- Check the box aligned with the Monitored Requirement.
- Select the 'Process' icon.
- Select 'Yes' to complete the monitored requirement.
