This guide explains how to manually override a Package on a Reservation in RMS, allowing you to customise package components at the individual reservation level.
Overview
The Reservation Package Override feature allows Users to customise the package components applied to a specific reservation. This is useful when a guest requires a different package from the default rate package, for example, swapping a standard breakfast for a dinner package, offering a complimentary inclusion, or adjusting the per-person charge for a specific stay.
When a package is manually overridden, the reservation uses its own package configuration. Changes are recorded in the Reservation Audit Trail and do not affect the Rate setup or any other reservations using that rate.
Prerequisites
Before overriding a package on a reservation, ensure the following are in place:
- The reservation exists in RMS and is accessible to the user.
- At least one Sundry Charge is configured and available for use as a package component.
- If using a Package Template, the relevant Package has been set up under Setup > Accounting > Packages.
- The user's Security Profile includes permission to override packages on reservations.
Guide
Open the Reservation in RMS.
- Select 'Package'.
- Select 'Manually Override Package'.
- Select the Package and ‘Edit’.
- Edit the Package.
- Select ‘Save/Exit’.
Override Behaviour
Understanding how the override behaves will help avoid unintended outcomes:
- Reservation-level only. The override applies only to the individual reservation. The Rate Table and any other reservations using the same rate are not affected.
- Audit Trail. All changes made through the override are recorded on the Reservation Audit Trail. They will not appear on the Rate Table Audit Trail.
- Inclusive vs. Exclusive. When Make Package Inclusive is ticked, the package amount is absorbed into the base tariff and the Total Tariff remains unchanged. When unticked, the package amount is added on top of the base tariff, increasing the Total Tariff.
- Zero-rate override. A package component can be overridden to $0.00 (e.g., for complimentary or goodwill inclusions). The package will still function and display operationally — for example, on the To Do Chart — regardless of the rate amount.
- Rate updates. If the Rate Table package is later updated, the overridden reservation will retain its manually configured package and will not automatically reflect rate-level changes.
