The Pre-Check In Report is a Daily report that tracks how many arriving guests have completed Pre Check-In through the Guest Portal.
Overview
The Pre-Check In Report counts every reservation with an Arrive Date in the selected date range and shows how many of those reservations have been completed through the Guest Portal Pre Check-In flow. It then calculates the Pre Check-In completion rate as a percentage.
The report is designed for a quick daily read on upcoming arrivals and how ready they are for a smooth, express style check-in. Results can be grouped by Property, Property State, Category, Category Grouping, or Loyalty Membership Type using two tiers of grouping in More Options.
Why use the Pre-Check In Report
Use this report to:
- Measure adoption of the Guest Portal Pre Check-In feature across upcoming arrivals.
- Identify arrivals that still need to complete Pre Check-In so front office can follow up before guests reach the property.
- Plan express or self-service check-in staffing based on the percentage of guests who have already provided their information.
- Monitor Pre Check-In performance by Property, Category Grouping, Category, or Loyalty Membership Type to see where adoption is strongest.
- Deliver the numbers automatically using Scheduled Reports, so the information is in the right inboxes each morning without manual building.
Prerequisites
Before running the Pre-Check In Report, confirm the following:
- The Guest Portal is enabled for the property and Pre Check-In is configured. See Guest Portal Pre Check-In Setup for configuration steps.
- Reservations exist with an Arrive Date that falls inside the date range to be reported on. Reservations with an Arrive Date outside the selected range are not included.
- The User has a Security Profile that grants access to Daily reports. Report access is controlled at the Security Profile level; contact a System Administrator if the report does not appear.
- Category Grouping records are set up if results need to be grouped by Category Grouping.
Guide
In the side menu of RMS, go to Reports > Daily > Pre-Check In.
- Select the Reservation Between date range.
Optional: Select a Category Grouping. - Select the Category.
Optional: Select More Options for additional report selections. - Select Build.
Report Options
The following options are available on the Pre-Check In Report selection screen.
Main Options

| Reservation Between | The date range the report checks for reservations with an Arrive Date. Presets include Today, Yesterday, Tomorrow, This Week, Next Week, Last 7 Days, Next 7 Days, Month To Date and many more, or a custom start and end date can be selected. |
| Category Grouping | Restricts the report to reservations whose Category belongs to one or more selected Category Groupings. Leaving this as All Selected includes every Category Grouping. |
| Category | Restricts the report to reservations booked into one or more selected Categories. Leaving this as All Selected includes every Category. |
| Add Report to Favourites Menu | Adds this report to the User's Favourites Menu for faster access next time. |
More Options
Selecting More Options allows the following selections.

| Group 1 | The first grouping tier. Available values are None, Property, Property State, Category, Category Grouping, or Loyalty Membership Type. Leave as None for a single total with no breakdown. |
| Group 2 | The second grouping tier nested inside Group 1. Available values are None, Property, Category, Category Grouping, or Loyalty Membership Type. Leave as None to use only one tier of grouping. |
Report Columns
The built report displays the following columns, plus a Grand Total summary row.

| Total Arrivals | The total number of reservations with an Arrive Date that falls inside the selected Reservation Between range, after Category Grouping and Category filters are applied. |
| Pre-Checked In | The number of those reservations that have completed Pre Check-In through the Guest Portal. |
| % Pre-Check In | The Pre-Checked In count expressed as a percentage of Total Arrivals, rounded to two decimal places. |
