This article describes the Area Moves report, which lists every reservation whose Area was changed while the reservation was in 'Arrived' status.
Overview
The Area Moves report displays a list of all reservations for the selected date range where the Area was changed while the reservation was in 'Arrived' status. For each move the report shows the Area and Category before and after the change, the date the move happened, the user who performed it, and the Upgrade Reason recorded against it.
The report covers moves that have already happened. A Reservation Area Move scheduled for a future date is not included until the move date is reached.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Use Cases
- Daily handover - Run this report for yesterday so the incoming shift knows which guests changed Area part-way through their stay.
- Upgrade tracking - Management reviews the Reason column to see how often guests are moved for a complimentary upgrade, a bed configuration change or a maintenance issue.
- Audit of mid-stay moves - A supervisor checks the Moved By and Area Moved On columns to confirm which user moved a guest and when, for operational or training review.
How to Access
In the side menu of RMS. go to Reports > Daily > Area Moves.

Column Headers
The columns below appear on the report output. One row is listed for each Area move. Where a value depends on how the move was recorded, the Source / Calculation column points to the relevant concept under Data Sources & Calculations.
| Column | Description | Source / Calculation |
|---|---|---|
| Res ID | The reservation number the Area move applies to. | Reservation record. |
| Guest | The name of the primary guest on the reservation. | Guest Profile. |
| Area Moved On | The date the Area move occurred. | Reservation change history. |
| Previous Category | The Category assigned before the move. | Reservation change history. |
| Previous Area | The Area assigned before the move. | Reservation change history. |
| New Category | The Category assigned after the move. | Reservation change history. |
| New Area | The Area assigned after the move. | Reservation change history. |
| Moved By | The RMS user who performed the Area move. | Reservation change history. |
| Reason | The Upgrade Reason recorded against the move. Blank where no Upgrade Reason was selected. | Reservation change history. |
Data Sources & Calculations
The following concepts each govern more than one column on the report.
Which Area changes appear on the report
An Area change is listed only when both of the following are true:
- The reservation was in 'Arrived' status at the time the Area was changed.
- The move has already occurred. A Reservation Area Move scheduled for a future date is excluded until the move date is reached.
Area changes made while the reservation was in any other status, such as Confirmed or Unconfirmed, do not appear on this report. Use the Area Change Report to see changes across all reservation statuses.
Reservation change history
Area Moved On, Previous Category, Previous Area, New Category, New Area, Moved By and Reason are all read from the change recorded against the reservation when the Area was moved. Each row represents one recorded move, so a reservation moved twice during a stay is listed twice.
The Reason column shows the Upgrade Reason recorded against the move. It is not mandatory, so the column is blank where no Upgrade Reason was selected.
Split Reservations
Split Reservations is an optional feature that must be enabled before it can be used and applies to all Properties for Enterprise customers.
When Split Reservations is enabled and a Reservation Area Move occurs while the reservation is in 'Arrived' status, the reservation is split so the time spent in each Area is recorded accurately, and a cover page links each Split Reservation together for management of the guest's entire stay. A Reservation Area Move with Split Reservations can be used for any Area, including Interconnecting Areas.
Area Moves vs Area Change
Both reports show changes to a reservation's assigned Area, but they cover different reservation statuses.
| Report | What it includes | When to use it |
|---|---|---|
| Area Moves Report | Area changes made while the reservation was in 'Arrived' status, including Split Reservations. | Tracking mid-stay moves and identifying trends in guests requiring a change of Area after they arrive. |
| Area Change Report | Area and Category changes on reservations of all statuses. | Reviewing how occupancy is being maximised and how reservations move in the lead up to arrival. |
Tip! To view every change made to a reservation rather than Area changes alone, use the Reservation Made/Modified Report.
