This article explains why RMS blocks voiding an individual package component on its own when a Travel Agent Trust Commission is linked to the reservation, and what to do instead.
Overview
Users may see a warning message when trying to void a single Package Component (for example, a Linen or Departure Clean charge) on an account, where a Travel Agent Trust Commission is also linked to that reservation.
The commission is calculated against the full value of all Package Components at the time the charges are posted. Voiding one Package Component on its own would leave the commission unchanged, so the account would no longer balance. RMS stops this by blocking the void and asking the user to void the whole night's stay instead.
| Account | Behaviour when voiding a Package Component |
|---|---|
| No Travel Agent Trust Commission | The Package Component can still be voided on its own. This behaviour is unchanged. |
| Has a Travel Agent Trust Commission | The Package Component cannot be voided on its own. RMS blocks the void and shows a warning. |
When a user tries to void a Package Component on an account with a Travel Agent Trust Commission, RMS shows the following message:
"The package cannot be voided on its own due to a travel agent commission, you must void the entire nights stay to remove the package."
How to void or credit the package
If a Package Component needs to be removed from an account with a Travel Agent Trust Commission, there are two options:
- Void the entire night's stay. Voiding the full accommodation charge also voids all linked Package Components, including the Travel Agent Trust Commission, and lets RMS recalculate the commission correctly. Follow the steps in Void a charge on an account. If the accounting period for the original charge has already closed, use Void a Transaction from a Closed Period instead.
- Credit the package instead of voiding it. If voiding the full night's stay would affect other charges on the reservation or booking, apply an Assigned Credit Note targeted at the Package Component's charge, rather than voiding it.
More Information
A Package can include multiple components, and any of them can be set to count towards a Travel Agent or Wholesaler commission. When a commission is calculated for a Trust Travel Agent, it is taken from the combined value of the package at the time of posting.
Because the commission amount is fixed at posting time, voiding only one component afterwards would leave the commission calculated against a total that no longer matches the charges on the account. Requiring the whole accommodation charge to be voided keeps the commission and the account in balance.
