How to request and update Interactive Maps for Online Bookings..
Overview
Interactive Maps, part of the RMS Booking Engine, lets guests choose and book their exact site, or multiple sites for group bookings, directly from a geographically accurate, real-time map. Guests can filter by amenities, the experience is mobile-optimised, and it flows straight through to payment.
An Interactive Map is only available via the RMS Booking Engine, which is activated as part of the Online module.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
What can guests do on the Interactive Map?
Explore the park or property visually – see the layout, locations and nearby facilities.
Click on individual sites/rooms to view details like name, type and key information.
See live availability and pricing for the dates they’ve selected.
Choose their preferred site/room and book directly from the map, without needing to go back to a long list.
- Filter the map by amenity, so only Categories with the features they selected can be booked.
- Filter the map by power, so only powered or unpowered sites, as the guest chooses, can be booked.
Why use Interactive Maps?
- Delivers a modern, “pick your own site” experience that guests expect. A live, geographically accurate map replaces static images and guesswork, letting guests explore your property and choose the site that's right for them.
- Drives more direct bookings. More bookings coming straight to you instead of through a third party.
- Makes group bookings easy. Guests can see which sites sit next to each other and book them all together in one go
- Makes rebooking effortless. Returning guests can find and book their favourite site directly
- Reduces phone and email enquiries, because guests can see exactly where they'll be staying, what's nearby, and whether their favourite site is available, so your front desk spends less time answering the same questions.
- Helps reduce allocation issues and disputes, as guests choose their own location with full visibility, so there's no gap between what they expected and what they arrive to find.
Tip! Bookings made via the Interactive Map on the RMS Booking Engine, will drop into RMS as Fixed. Area Selection Charges can be configured as an optional setting.
Important! If a guest doesn't see a map when booking, it simply means the property hasn't enabled the Interactive Map for their online bookings yet.
Please Note! Online Maps cannot be edited or updated directly in RMS. All changes must be requested via a Support Ticket, providing the details outlined below.
Filtering the Interactive Map by Amenity
Guests can filter the Interactive Map by amenity, such as an ocean view, using the Filters button on the map. The amenities listed are the Category Attributes that have RMS Online Filter selected and are assigned to at least one Category.
After a guest selects one or more amenities and selects Show Results, the Interactive Map shows:
- Categories that have every selected amenity as available to book.
- Categories that are available but do not have every selected amenity as greyed out. These cannot be selected or booked.
Selecting Clear all in the Filters window removes the filters and returns the full Interactive Map. Amenity filters work the same way on the Booking Engine list view. For details, see RMS Booking Engine.
Filtering the Interactive Map by Power
Guests can filter the Interactive Map to powered or unpowered sites once RMS has turned the Power filter on for the property and at least one Site Category has Power Options ticked on its Category Online Options tab. The Power filter has three options, All, Powered and Unpowered, and All is selected by default. It is available when the guest is viewing all Category Classes or the Site Category Class, and is hidden for Accommodation and Dock.
- Desktop: the Power filter sits in the same row as the Category Class filters on the map, and Powered and Unpowered show as icons only.
- Mobile: the Power filter is in the Filters window, after the Category Class and dwelling filters and before the amenities.
When a guest selects Powered or Unpowered, the Interactive Map shows:
- Site Categories with the selected power status as available to book.
- Site Categories with the other power status, and Site Categories without Power Options ticked, as greyed out. Selecting All shows them as available again.
- Accommodation and Dock Categories unchanged, as power never filters them.
Each available site in a Site Category with Power Options ticked shows its power status as an icon to the right of its price: a green plug for Powered, or a red plug with a line through it for Unpowered. The icon shows whether or not the guest has used the Power filter, and even when the Power filter is not turned on for the property. Greyed-out sites show no price and no icon. When the guest opens a site, its details show Powered or Unpowered after its Category Class label and any selected dwelling type.
On the mobile Interactive Map, Clear all in the Filters window resets every filter in the window, including the Category Class and Power filters.
The Power filter is also available on the Booking Engine list view, and RMS turns it on for each property together with amenity filters. For details, see RMS Booking Engine.
No Availability Message
If a guest searches for dates or guest numbers with no matching availability, the map displays a standard built-in message: "We're fully booked, please change dates or guests to see availability." This message also displays when the search does not meet a stay requirement, such as a minimum length of stay.
Please Note! This message is system generated and cannot be edited or customised. The No Availability Custom Message configured in Online Options Page Settings applies to the Booking Engine list view only.
Information Required to Build Your Map
Every map is built directly from your information provided, so the more complete and detailed your submission, the more accurate your map will be.
We’ll need the information below to build your map. Please provide as much detail as you can.
Please note! Once we have the information needed to build your map, you’ll be sent a quote.
New Maps
For all new map requests, please include:
| What we need | Details |
|
Request type specified
|
New Interactive Map or Update to Existing Interactive Map |
| A property layout overlay | An image, hand-drawn diagram, or existing map showing all areas clearly marked |
| Number of areas | How many sites are being added to the map. Each site must be clearly labelled |
| Number of amenities & amenity details | How many facilities (pools, playgrounds, camp kitchens, etc.) are being added and clear amenity descriptions. |
| Area IDs | A linked CSV file, or annotations directly on the overlay, matching each marked area to its Area ID in RMS |
|
Details of any new categories being added
|
Including: Category name Category ID |
Please Note! We're not able to progress with building your map without a complete overlay showing area placement and Area IDs.
Updates to a Map
For updates to an existing map, also include:
| What we need | Details |
| A labelled overlay | Mark changes clearly using letters (A, B, C, etc.) |
| A written list of changes | Matching each label to the change required (e.g. “A = combine areas 43 and 65 into area 90”) |
This approach ensures changes are implemented accurately and efficiently.
Example Map
A good overlay clearly marks each area with a number or label that corresponds to an Area ID in 9+. For example:
| Map Label (Example) | RMS Area ID (Example) |
| 577 | 127 |
| 598 | 128 |
| 579 | 129 |
| 580 | 362 |
To find the RMS Area IDs, go to Setup > Category/Area.
- Select Edit on the Category.
- Select the Area tab.
Each Area has a corresponding Area ID, that is the number required for the Interactive Map setup..
Please Note! If a Guest Description exists for the Area, that will be displayed on the Interactive Map.
If no Guest Description exists, the Area Description will be displayed.
Area\Guest Descriptions are limited to 7 characters on the map, but the full description will display as expected in the Booking Engine cart, confirmation pages, and confirmation email.
Example Amenity Description
Kitchen
This is the largest of our camp kitchens, with 5 fridge/freezers, 6 gas cook-tops, and 3 large free-standing ovens. Open 5:30am–11pm. We'd appreciate guests tidying up after themselves. (Include a photo if available)
Playground — North Park
Best suited for children under 5. Smaller equipment designed for little hands and feet. (Include a photo if available)
Tip! If you have more than one of the same type of amenity, number each one and describe them individually.
Example Support Ticket
Here’s an example map request ticket, so you can see what a complete, well-structured request looks like and use it as a model when you submit your own.
"Please request a new map build for Client ID ####. We do not currently have a map in use on the RMS Booking Engine.
The areas to map are attached on the linked CSV file - there are 86 in total.
Please note there is a section on the map of permanent sites - these are on the map marked as site IDs V1-V7. Theses can be added to the map as sites but do not need to be mapped to any areas in 9+ as they will never be sold on the booking engine.
The map image has also been attached for reference.
We would also like the following amenities/ facilities mapped:
Amenity 1:
Opening Hours 5:30am - 10:30 pm 7 days a week
There are 3 gas cook tops & 2 ovens. We have 3 fridge freezers for your convenience. It is recommended that you name your items.
The park takes no responsibility for stolen food.
(please use attached screenshot ‘Amenity 1’ for this facility)."
How to Get an Interactive Map for Your Property
There are two types of requests:
New Interactive Map
You do not currently have an Interactive Map and would like one created.
Update to an Existing Interactive Map
You already have an Interactive Map but need changes made, such as:
- Adding new areas
- Renumbering or renaming areas
- Layout or configuration changes
To request a new Interactive Map or an update to an existing one, simply Log a Support Ticket with your request, including all the information listed above in Information Required to Build Your Map.
Once your ticket is received, our team will contact you to discuss your requirements and next steps.
What Happens After I Submit My Request?
I've submitted my ticket, what happens next?
Our team reviews your request to confirm all required information has been included. If anything's missing, we'll contact you before moving forward. You’ll then be sent a sales order based on your request.
How long will it take?
Once your payment has been received, it moves into our build queue. Timelines vary depending on complexity of your map. We'll confirm an estimated timeline once your request has been reviewed.
What happens while my map is being built?
Our team builds your map based on everything you've provided. Requests are generally handled in the order they're received.
Can I review my map before it goes live?
Yes. Once your map is ready, we'll contact you to review it. You can submit a support ticket at any time to request preview access.
What happens once I approve it?
Once confirmed, your map is automatically uploaded into your RMS system. That's it, no further action required on your end.
Can I make further changes after my map goes live?
Yes. Any follow-up updates go through the same support ticket process as a new update request.
Removing an Interactive Map
Deleting an existing online Interactive Maps can be actioned by Users at the Property, that have the required Security Profile access.
Pricing
Pricing is provided upon request, as costs can vary depending on several factors, including:
- Property location
- Number of areas included in the map
- The complexity of your layout and the requested changes
Your RMS Support representative will advise pricing once your requirements are reviewed.
Frequently Asked Questions
Why is my request taking longer than expected?
The most common reason is an incomplete submission, usually a missing overlay, unclear area labelling, or amenity details that haven't been provided yet. Including everything listed in Information Required to Build Your Map upfront is the best way to avoid delays.
Can I update my map myself in RMS?
No. Online Maps cannot be edited directly in RMS. Any changes, big or small, need to go through a support ticket using the same process as a new request.
What's the difference between Online and Inhouse Interactive Maps?
They're separate features. Online Interactive Maps appear on your live RMS Booking Engine for guests. Inhouse Interactive Maps are only available for use in‑house and are not reflected online. Any updates made to the Inhouse Interactive Maps will not appear on the Online Interactive Maps, and vice versa.
Do I need a new map, or an update?
If you don't currently have an Interactive Map, you'll need a new one. If you already have one and need to add, rename, or reconfigure areas, that's an update. Both follow the same request process.
How much does an Interactive Map cost?
Pricing depends on your property's location, the number of areas on your map, and the complexity of the layout or changes requested. Pricing will be confirmed once your request has been reviewed.
Can I preview my map before it goes live?
Yes. You can request preview access at any point by submitting a support ticket, and our team will confirm once it's ready for you to review.
