What are Area Status and how are they used?
Overview
Area Status is a Housekeeping module feature that tracks the current state of each area based on reservation movements and housekeeping activities.
System Area statuses are colour-coded and can be viewed at a glance on the Clean Screen and Booking Chart with the Housekeeping setup determining the behaviour on reservation check-in when an area is in 'Vacant Dirty' status.
Custom Clean Statuses are optional statuses you can create to replace or supplement the system statuses.
The Clean Screen can be used to view and update the status of areas as cleaning tasks are completed.
Area Status can be updated from three locations: Clean Screen, Booking Chart, or the Staff Portal.
System Area Status
RMS includes five default system Area Statuses that work automatically with your reservations and maintenance -

| Occupied | Automatically applied when a guest checks in to a booking | Area is in use by a guest |
| Vacant Dirty | Automatically applied when a guest checks out | Area requires cleaning after guest departure |
| Vacant Clean | Manually set on the Clean Screen, Booking Chart, or via the Staff Portal to indicate the area is ready for the next reservation. | Area is empty and ready for the next guest |
| Maintenance | Manually applied when creating a Maintenance reservation | Area is undergoing active maintenance and is unavailable for guests |
| Inspect | Automatically applied when a Maintenance reservation is released or completed | Area has completed maintenance and requires quality inspection before guest use |
Custom Area Statuses
When to use Custom Area Statuses:
- When your Property's housekeeping workflow requires more specific or granular status options.
- Your property has multiple levels of cleanliness or inspection (e.g., Quick Clean, Deep Clean, Inspection Required)
- Custom names that match your Property terminology
Guide
In the side menu of RMS, go to Setup > Housekeeping > Area Statuses.
- Select 'Add'.
- Enter a Status Description.
- Enter a Booking Chart Code.
Select the 'Dirty' checkbox (Optional).
Navigate to the 'Properties' tab, to assign the Task to specific Properties (Optional). - Select Save/Exit.
Activate and Allocate Custom Area Statuses
After creating custom statuses, you must allocate (assign) them to specific properties so they are available for use:
In the side menu of RMS, got to Setup > Property Options > Property Information.
- Select Edit on an existing Property.
- Navigate to the Housekeeping tab.
- Select the Custom Statuses tab.
- Select Use Custom Clean Statuses.
- Select the Custom Area Statuses for any required options.
- Select Save/Exit.
