Overview
Housekeeping Task allocation in RMS streamlines the scheduling of Housekeeping Tasks for Reservations. Tasks can be assigned to various levels, including Property, Category, Area, Rate Type, Property Rate Rule, Derived Rate Type, Derived Property Rate Rule, or Rate Table, to meet operational needs.
When multiple allocation tiers are configured, the Housekeeping Task Hierarchy determines which tasks are scheduled for a reservation. For simplicity, it’s best to use the lowest applicable tier for task setup and reserve higher tiers for overrides.
Tip! The Housekeeping Schedule for a Reservation will only include Tasks from the highest relevant tier, as defined by the hierarchy.
Important! Any Housekeeping Tasks setup on the Rate Table of a 'Derived From' Rate Type will NOT override the tasks set on the Derived Rate Type or Derived Rate Type Property Rule. Any Housekeeping Tasks setup on a Rate Table selected in the 'Adjustment Amount' tab of a Derived Rate will override any tasks set on the Derived Rate Type or Derived Rate Type Property Rule.
Tip! The allocated Housekeeping Tasks will apply to all reservations created at the Property AFTER the allocation is saved, unless an overriding task allocation is setup. To update existing Reservations to the new task allocation, run the Reset Housekeeping Schedules utility.

Property Housekeeping Tasks
Housekeeping Tasks assigned to a Property cover most Reservations with minimal setup, maintenance, and troubleshooting required.
Tasks should be allocated on the Property level if the same Housekeeping standards apply to all or most parts of the Property.
Tip! A Hotel, Motel, or Serviced Apartments property that provides the same Housekeeping services to all Areas or Apartments at the Property can use only the Property Housekeeping Tasks.
In the side menu of RMS, go to Setup > Property Options > Property Information.
- Select 'Edit' on an existing Property.
- Select the 'Housekeeping' tab.
- Select the 'Task' tab.
- Select the Housekeeping Tasks.
- Select 'Allocate'.
- Select 'Save/Exit'.
Important! For Areas or Rates with specific Housekeeping needs different from the rest of the Property, start with the Property Housekeeping Tasks as the base and use Category, Area, or Rate Housekeeping Tasks to modify this base where needed.
Category Housekeeping Tasks
Category Housekeeping Tasks schedule on all Reservations in that Category unless an overriding allocation exists.
Use Category Housekeeping Tasks to override the Property Housekeeping Tasks for a specific Category or when each Category at the Property has unique Housekeeping requirements.
Tip!
• A Hotel, Motel, or Serviced Apartments property that provides different Housekeeping tasks based upon the Category.
• A Holiday Park or Motel property that offers the same Housekeeping tasks for all roofed accommodation and not to sites can use the Category Housekeeping tasks to automate the Housekeeping Schedules of reservations in roofed accommodation.
• A Hotel, Motel, or Serviced Apartments property that provides differing tasks to each Category.
In the side menu of RMS, go to Setup > Category/Area.
- Select 'Edit' on an existing Category.
- Select the 'Housekeeping' tab.
- Select the Housekeeping Tasks.
- Select the 'Allocate' icon.
- Select 'Save/Exit'.
Repeat these steps for any other Categories that require changed task allocation.
Area Housekeeping Tasks
Area Housekeeping Tasks apply only to reservations within that specific area unless there is a higher priority rule in place.
Use Area Housekeeping Tasks if different Areas have unique Housekeeping needs or to modify the general guidelines set by Property or Category Housekeeping Tasks for areas with different requirements.
Tip! A Hotel, Motel, or Serviced Apartments property that provides differing tasks to each Area.
In the side menu of RMS, go to Setup > Category/Area.
- Select 'Edit' on an existing Category.
- Go to the 'Area' tab.
- Select an existing Area.
- Select 'Edit'.
- Go to the 'Housekeeping' menu.
- Select the Area Housekeeping Tasks.
- Select the 'Allocate' icon.
- Select 'Save/Exit'.
Repeat these steps with any other Areas that require changed task allocation.
Important! If multiple areas in a Category share the same housekeeping needs, use Category or Property Housekeeping Tasks instead. Only setup Area Housekeeping Tasks for areas that differ from the rest. Select all required housekeeping tasks for the area, as only the highest relevant tier will be included in the reservations housekeeping schedule.
Property Rate Rule Housekeeping Tasks
Property Rate Rule Housekeeping Tasks are used only for reservations that select a specific Rate Type at a Property, unless there's an overriding rule.
Use these tasks when a Rate Type is shared across properties and each property has different housekeeping needs for the same rate, or to modify existing guidelines set by Property, Category, or Area Housekeeping Tasks for that Rate Type.
Property Rate Rules allow a single Rate Type to be used across different properties with varying rate options.
Tip! If Housekeeping Tasks don’t vary with the Rate, use Property or Category Housekeeping Tasks instead.
Go to Charts > Rate Manager..
- Select the 'Rates' icon.
- Select 'Rate Types'.
- Select an existing Rate Type.
- Select 'Edit'.
- Go to the 'Property Rate Rules' tab.
- Select 'Add'.
- Select a Property.
- Select 'Save'.
- Go to the 'Housekeeping' tab.
- Select the Rate Type Housekeeping Tasks.
- Select 'Allocate'.
- Select Save/Exit.
Derived Rate Type Housekeeping Tasks
Derived Rate Type Housekeeping Tasks apply only to reservations with that specific Derived Rate Type, unless a higher priority task allocation overrides them.
Use these Tasks if each Rate has unique Housekeeping needs or to modify existing guidelines set by Property, Category, Area, or regular Rate Type Housekeeping Tasks for a specific Derived Rate Type.
Tip! Derived Property Rate Rules allow the sharing of a Derived Rate Type across different properties with varying options. If Housekeeping needs are consistent regardless of the rate booked, use Property or Category Housekeeping Tasks instead.
In the side menu of RMS, go to Charts > Rate Manager.
- Select 'Rates'.
- Select 'Rate Types'.
- Go to the 'Derived Rate Type' tab.
- Select an existing 'Derived Rate Type'.
- Select 'Edit'.
- Go to the 'Housekeeping' tab.
- Select the 'Housekeeping Tasks'.
- Select 'Allocate'.
- Select 'Save/Exit'.
Derived Property Rate Rule Housekeeping Tasks
Derived Property Rate Rule Housekeeping Tasks apply only to reservations at a specific property where a particular Derived Rate Type is selected, unless there is a higher priority task allocation.
Use these tasks if a Derived Rate Type is shared among different properties and each property requires different housekeeping for each rate, or to override existing housekeeping guidelines like Property, Category, Area, or Rate Type Housekeeping Tasks for that Derived Rate Type.
Tip! Derived Property Rate Rules allow the use of a Derived Rate Type across multiple properties, each with different rate options. If Housekeeping needs remain the same regardless of the rate booked, opt for Property or Category Housekeeping Tasks instead.
In the side menu of RMS, go to Charts > Rate Manager.
- Select 'Rates'.
- Select 'Rate Types'.
- Go to the 'Derived Rate Type' tab.
- Select an existing 'Derived Rate Type'.
- Select 'Edit'.
- Go to the 'Property Rate Rules' tab.
- Select 'Add'.
- Select a Property.
- Select 'Save'.
- Go to the 'Housekeeping' tab.
- Select the 'Housekeeping Tasks'.
- Select 'Allocate'.
- Select 'Save/Exit.
Rate Table Housekeeping Tasks
Rate Table Housekeeping Tasks apply only to Reservations using that specific Rate Table.
Use these tasks when housekeeping needs to change seasonally or periodically within the same Rate Type. They will override other Housekeeping Task tiers except for Tasks related to a Derived Rate Type.
If a Rate Table is selected under the 'Adjustment Amount' tab for a Derived Rate Type, Rate Table Housekeeping Tasks will take precedence over tasks set for the Derived Rate Type, Derived Property Rules, or any other task allocations.
However, if Rate Table Housekeeping Tasks are used with a Derived From Rate Type, they won't override any tasks for the Derived Rate Type or Derived Property Rule.
If Housekeeping needs are consistent throughout the year for a rate, opt for Property Housekeeping Tasks or Category Housekeeping Tasks instead.
In the side menu of RMS, go to Charts > Rate Manager.
- Select 'Rates'.
- Select 'Rate Tables'.
- Select an existing 'Rate Table'.
- Select 'Edit'.
- Go to the 'Housekeeping' tab.
- Select the 'Housekeeping Tasks'.
- Select the 'Allocate' icon.
- Select 'Save/Exit'.
Company Housekeeping Tasks
Housekeeping tasks can be allocated at a company level. This can be used for the likes, where a company may have a contracted cleaning schedule with the property; the cleaning schedule can be automatically applied in accordance with the housekeeping hierarchy.
Go to Setup Menu > Companies > Edit Company
- Navigate to the Housekeeping Tab
- Select from the Available Tasks
- Select the '>' icon to move the tasks to 'Selected Tasks'

Please Note! A new configuration will only apply to New reservations and Not Existing reservations. To have this apply to Existing reservations, you will need to "Reset the Housekeeping Schedules".
