This guide explains how to create an SMS template and send it to every guest arriving in the future, using In/Out Movements in RMS.
Overview
Use this process when every guest with a future booking needs the same short message. You first create an SMS template that contains the message, then select the upcoming arrivals on the In/Out Movements screen and send the SMS to all of them at once. To also email guests the Phishing Notification - Email Form Letter, see How to Send the Phishing Notification Email to Upcoming Arrivals.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Prerequisites
- The 2-Way SMS module.
- Access to set up and send SMS templates on your Security Profile. See User Access to Send Correspondence.
Create the SMS Template
An SMS template holds the message that RMS sends to each guest. You create the SMS template once under Setup, then select it when you send the SMS.
- In the side menu of RMS, go to Setup > Correspondence > SMS.
- Select the Add icon.
- Enter a Description.
- Enter the message.
- (Optional) To insert the guest's first name, select Guest in Merge Table, then double-click Given.
- Select Save/Exit.
-
Please Note! Each SMS fits 160 characters, or 70 if it contains emoji or special characters. Merge fields can change the final length, so check the Character Count in the SMS (Out) window before you send.
Select Guests Arriving in the Future
In/Out Movements shows today's date by default, so set a date range that covers every future arrival.
- In the side menu of RMS, go to Reservations > In/Out Movements.
- Select the date field at the top of the Filters panel.
- In From, enter today's date.
- In To, enter a date far enough ahead to include your furthest future booking.
- Select Apply.
-
- Select the Expected Arrivals filter.
- Select the checkbox in the column header to select every reservation in the list.
- Select the Correspondence Options icon.
- Select Send SMS.
Send the SMS
The SMS (Out) window sends the SMS template to the mobile number of the guest on each selected reservation.
- If RMS shows that it cannot send an SMS to some reservations because the mobile number is invalid or not set, select Yes to continue.
- Select the SMS template.
- Select the Open icon.
-
- Check the message and the Character Count.
- Select the Send All SMS icon.
-
- Select Ok to confirm.
Tip! Note the reservation numbers that RMS lists as having an invalid or missing mobile number, so you can contact those guests another way, such as by email.
