SMS History report

The SMS History Report lists every SMS sent from RMS for a selected date range, with the recipient, reservation and guest details.

 

Overview

SMS History is a report of all SMS sent in RMS for the selected date range.

The 2-Way SMS module enables sending SMS in RMS and receiving replies in the Message Centre.

SMS can be sent on the 'Correspondence' tab of a Guest Profile or Reservation, in the Message Centre, and on In/Out Movements or using Triggered Correspondence.

The SMS History report will match the 'Correspondence' tab on the Guest Profile and Reservation.

Multi-part SMS will display as a single SMS sent on the SMS History report.

Use Cases

  • Audit SMS sent - Review every SMS sent from RMS over a period, with recipient, reservation and guest details.
  • Confirm a message to a guest - Check the To Mobile and Date Sent for messages linked to a specific reservation or guest.
  • Reconcile against the Guest Profile - The report matches the Correspondence tab on the Guest Profile and Reservation.

 

How to Access

In the side menu of RMS, go to Reports > Management > Guests.

  1. Select a Date Range.
  2. Select the Timezone.
  3. Select a Group By.
     (Optional) Select 'Group By Property'.
  4. Select Build.

Report Options

The options below appear on the SMS History Report parameter panel. Additional options are available by clicking More Options.

★ Tip: Report build screens default to a common use configuration, and selections can be made as required.
Report Option Type Description
Time Zone Select Dropdown Sets the time zone used to display the Date Sent column. Defaults to UTC.
Sort By Dropdown Sets the sort order of the report.
Options include Date Sent, Reservation No and Surname.
Group By Property Checkbox For multi-property (Enterprise) databases. Shows a separate section for each Property.
Property Multi-select Limits the report to the selected Properties.

 

Column Headers

The SMS History Report includes the following columns.

Column Description
Date Sent The time and date the SMS was sent in RMS.
Reservation Number The Reservation Number for the Reservation the SMS was sent from.
Guest Number The unique Guest ID for the Guest Profile the SMS was sent to.
Name The Given and Surname of the Guest Profile the SMS was sent to.
To Mobile The recipient mobile number the SMS was sent to.
Changes made to the 'Mobile' field on the Guest Profile after an SMS was sent will not be reflected on the SMS History report.
