This article explains how changing codes, names, Rate Manager settings or the property's database affects the Duetto integration after go-live, and how to disconnect Duetto.
Overview
The Duetto integration depends on four RMS values that Duetto stores and matches exactly: the property's RMS Client ID, each Category Code, each Rate Type name and each Market Segment Code. If one changes in RMS but not in Duetto, Duetto's rate updates for that item stop, and RMS shows no message. Agree every change below with Duetto before you save it in RMS.
Setup is covered in Duetto Interface and Duetto as the Property's Rate Manager. Changes on the Rate Manager tab need access to Property Information (the Setup > Properties security function), and its re-sync and Market Segment tools also need the Daily Password.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Changing Category Codes, Areas, Rate Types or Market Segments
Changes to Category Codes, Areas, Rate Type names and Market Segment Codes must also be made in Duetto.
What Happens If I Change a Category Code (Room Type Code)?
The Category Code, which Duetto calls the Room Type Code, must be identical in RMS and Duetto. If it changes in RMS only, Duetto's rate updates for the old code are rejected with error 116 "Invalid Inventory Code", reported in Duetto, not RMS (see Duetto - Rate Updates Rejected (Error 249 or 116)).
- Duetto reads only the Code field on the Category's Extra Details tab, not Code 2 or Code 3. The steps are in Duetto - Not Receiving Data from RMS.
- Other imports set up for the property can read the same Code field, so check those before changing it.
- If no Category has a Code, RMS sends nothing at all.
- Group allotments on a Category with no Code are still sent to Duetto with the room type 'NULL'
Please Note! Removing a Category's Code stops RMS sending that Category's reservations and inventory to Duetto, but Group Allotments held on that Category are still sent as group blocks without a room type, and part of a reservation moved between Categories can be sent the same way.
Changing a Category Code does not resend anything to Duetto. Duetto stores each reservation under its RMS reservation number and replaces it whenever RMS sends it again, so the reservations Duetto already holds keep the old code until RMS resends them. To change a Code on a live connection:
- Ask Duetto to add the new Room Type Code on its side, and agree whether Duetto will move the existing history to the new code itself or needs RMS to resend it.
- Change the Code on the Category in RMS.
- If Duetto needs the history resent, run Re-Sync All Rate Manager Data (the steps are in Duetto - Not Receiving Data from RMS). It resends reservations from the Start Date or two years before today, whichever is later, with the new code. Older reservations keep the code Duetto already holds.
What Happens When I Add, Inactivate or Reactivate Categories and Areas?
New Categories and Areas reach Duetto only under the original setup conditions. A new Category needs a Code that Duetto also adds on its side. A new Area needs Area Statistics turned on, or it is left out of the occupancy and inventory figures RMS sends.
Reservations and inventory are sent to Duetto only for active Categories. The daily summary totals still include reservations in an inactive Category that has a Code, and group allotments on an inactive Category are still sent. An Area is made inactive by moving it to an inactive Category, which does not change the Category on reservations that have already departed, so RMS does not withdraw the Area's history. If Statistics is also turned off on the Area, its reservations are left out of later updates, and turning Statistics back on does not resend them automatically. Ask Duetto whether it keeps the history it already received for an inactive Area.
When the Area is back in an active Category with a Code and has Statistics turned on, Re-Sync All Rate Manager Data resends its reservations from the Start Date or two years before today, whichever is later, provided the Category each past reservation was booked in is still active and has a Code.
Re-Sync All Rate Manager Data resends each reservation under the same RMS reservation number, and Duetto replaces the copy it already holds rather than adding a second one. RMS sends nothing that removes a reservation from Duetto, so reservations the re-sync leaves out, such as those booked in a Category that is now inactive or has no Code, stay as Duetto last received them.
What Happens If I Rename or Add a Rate Type?
Duetto identifies each Rate Type by the exact name on its Rate Type record, not its Code, in both directions.
- Renaming a Rate Type stops Duetto's updates for it until Duetto uses the new name. The update is rejected with error 249 "Invalid Rate Plan", and the whole message fails, including rates for other Rate Types.
- Adding a Rate Type for Duetto to price means giving Duetto its exact name and assigning it a Market Segment. See Duetto - Rate Setup for which Rate Types Duetto can price.
- Multi-property databases: renaming a shared Rate Type affects every property that uses it.
Can I Change Market Segments After Go-Live?
Duetto represents each Market Segment by its Code in the Market Segments lookup table. After a Code changes, the reservations (bookings) RMS sends carry a code Duetto must also recognise, so agree the change with Duetto first.
Changing the Market Segment on a Rate Type, Discount or Travel Agent does not correct historical reservations. The Update Market Segment tool fills only reservations with no Market Segment; the RMS Data team changes existing ones on request, which may be quoted. See How to Update Market Segments on Historical Reservations.
Changing the Start Date or Duetto Credentials
The Start Date and the Duetto credentials on the Rate Manager tab take effect differently on a live connection.
How Do I Change the Start Date or Resend History to Duetto?
The Start Date is read only during a full sync: the first sync after the Rate Manager tab is saved, or a Re-Sync All Rate Manager Data. Changing it on a live connection has no effect until the next full sync.
A full sync sends history from the Start Date or two years before today, whichever is later, so a Start Date set to the connection date sends no history. See Duetto - What RMS Sends and Receives.
Re-Sync All Rate Manager Data resends that whole window and needs the Daily Password. Treat it as a last resort and agree it with Duetto first. Its duration, scope and steps are in Duetto - Not Receiving Data from RMS; see also Revenue Management Update Reservation Data.
What If Duetto Issues New Credentials or a New Endpoint?
The Username, Password and Endpoint on the Rate Manager tab are the credentials RMS uses to send data to Duetto. If Duetto issues new ones, RMS cannot send until they are entered and saved.
- Enter the password exactly as supplied, including special characters such as "&".
- The Endpoint is Duetto's integration address, not its login address.
Please Note! Enter only the credentials Duetto issues for RMS to send data. Duetto's own rate and restriction updates are checked against credentials that RMS holds, not against the Rate Manager tab, so those are never entered on the tab. The Duetto connection does not use an RMS web service password.
What If the Property Moves to a Different Database?
Duetto identifies the property by its RMS Client ID, which RMS allocates, and RMS rejects any Duetto update without a Client ID it recognises. The Rate Manager module is also activated against the Client ID: in a multi-property database, the individual property's Client ID, not the enterprise ID used to log in.
Disconnecting the Duetto Integration
To disconnect Duetto, contact RMS Sales to remove the Rate Manager module, and RMS stops sending data to Duetto. RMS Sales applies the module outside the Module Market, so it cannot be turned off as described in Module Deactivation.
Disconnecting does not undo what Duetto has already sent. Its last rates and restrictions stay in RMS under the Control Panel user "Rate Manager" and do not revert to your Rate Tables, so review future dates and change any rates you no longer want.
Important! Removing the Rate Manager module does not stop RMS accepting rates and restrictions from Duetto. Ask Duetto to stop sending updates for the property at the same time, or Duetto's decisions will keep changing your rates.
Please Note! Changing the Rate Manager Type away from Duetto stops RMS sending data to Duetto, but RMS still accepts the rates and restrictions Duetto sends. Ask Duetto to stop sending updates if they should no longer change your rates.
