This guide explains how to use the Update Market Segment tool to add Market Segments to historical reservations that have none, for properties connected to Duetto or IDeaS.
Overview
The Update Market Segment tool is a Rate Manager tab utility that fills in a blank Market Segment on past, current and future reservations, using the Market Segments now set on your Travel Agents, Discounts and Rate Types. Duetto and IDeaS analyse reservations by Market Segment, so reservations without one are hard for them to interpret. The Duetto and IDeaS setup guides call this step "Historical Data Correction".
The property runs the tool itself, after its Market Segment setup is complete and before the first data sync to the revenue management system.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Prerequisites
The Update Market Segment tool needs the following before you start:
- The property uses Duetto or IDeaS as its Rate Manager. The tool is unavailable while no Type is selected on the Rate Manager tab.
- Your user can edit Property Information (Setup > Property Options > Property Information).
- Market Segments are set on your Rate Types, and on any Discounts and Travel Agents that belong to a specific market. Your System Administrator and Revenue Management Team have checked this setup.
- You have today's Daily Password, requested from RMS Support with a Service Request.
Historical Reservations That Get Market Segments
The Update Market Segment tool only changes a reservation that meets all of these criteria:
- It has no Market Segment.
- It departs no earlier than two years before the property's current date in RMS. Today's and future departures are included.
- Its status is Arrived, Confirmed, Departed, Unconfirmed, Cancelled or No Show.
- Its booking type is Normal Booking or Event Booking.
- Its Category belongs to the property you are editing.
The tool takes the Market Segment from the first of these sources that has one:
- The Travel Agent on the reservation.
- The Discount on the reservation.
- The Rate Type on the reservation. For a BAR (Multi) Rate Type, it uses the Market Segment of the BAR rate set for the arrival date.
If no source has a Market Segment, the reservation stays blank. The Sub Market Segment is never changed.
Important! The update cannot be undone, so check your Market Segment setup first.
Steps to Run the Update Market Segment Tool
The Update Market Segment tool runs for one property at a time, so repeat these steps for each property in a multi-property database.
In the side menu, go to Setup > Property Options > Property Information.
- Select Edit on the property.
- Select the Rate Manager tab.
- Check that the Type field under the Rate Manager heading shows Duetto, IDeaS G2 or IDeaS G3.
Tip! The icon becomes available as soon as a Type is selected, so on a new connection the tool can run before the connection details are saved.
- Select the pen icon right of the Rate Manager heading (tooltip "Update Market Segment"). It is the third of three icons; the other two resend data.
- Enter the Daily Password, then select the tick icon.
- Read the warning and select Proceed.
Please Note! The warning asks whether you have validated the process in the Training Database and confirmed the reservation data is correct. It states that data repair costs apply if you have not. Select Cancel to stop without changing any reservations.
- Wait for the message "N Row(s) of Market Segment has been updated", where N is the number of reservations changed.
- Select Exit if you made no other changes.
Tip! Running the tool again is safe. It only changes reservations that still have no Market Segment.
Tip! To check the result before changing Live reservations, run the Update Market Segment tool in your Training Database first. The Training Database accepts the same Daily Password, and the update there does not change your Live reservations.
After Running the Update on a Live Connection
If the Update Market Segment tool runs after the connection is already sending data, the revenue management system may not receive the updated Market Segments automatically. Running it before the first data sync avoids this.
Duetto is not resent the updated reservations automatically, so contact RMS Support about running Re-Sync All Rate Manager Data (Requires Daily Password). See Revenue Management Update Reservation Data.
For an IDeaS G3 connection, RMS rebuilds the statistics it sends to IDeaS from current data once a day, after the property's end of day, for stay dates from about 45 days before the current business date onwards (or from the Start Date, if that is later), so those dates receive the updated Market Segments at the next daily update. The updated reservations themselves are not resent until each is next changed, and stay dates older than about 45 days are only resent by Re-Sync All Rate Manager Data (Requires Daily Password), so contact RMS Support if IDeaS needs older history corrected.
IDeaS G3 room nights and room revenue use the Market Segment of each night's Rate Type where one is set, so for those figures the update changes only reservations whose Rate Type has no Market Segment.
What the Update Market Segment Tool Cannot Do
The Update Market Segment tool only fills blank Market Segments, so some changes need the RMS Data team instead:
| Situation | What to do |
|---|---|
| Reservations already carry a Market Segment you want to change, for example after re-mapping Rate Types. | Ask RMS Support for a data update by the RMS Data team. The job is quoted first and charges may apply. |
| Reservations fall outside the tool's criteria, for example departures more than two years ago. | Ask RMS Support for a data update by the RMS Data team. |
| The tool shows an error or times out on a property with many reservations. | RMS Support can have the RMS Data team run the same update. |
| Your history is still in a previous system. | The tool only updates reservations already in RMS. It does not import reservations. |
The RMS Data team normally runs a data update in the Training Database first, so you can check the result before it is applied to Live.
