This article explains what data RMS sends to Duetto, how often it is sent, which guest details are included, and which pricing decisions Duetto sends back into RMS.
Overview
Duetto is a third-party revenue management system connected to RMS through the property's Rate Manager tab. RMS sends Duetto reservation, group allotment, inventory and revenue data, and Duetto sends rates and restrictions back. The two directions work independently, so one can keep working while the other has stopped.
To set up the integration, see Duetto Interface and Duetto as the Property's Rate Manager.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
How RMS and Duetto Exchange Data
RMS and Duetto exchange data over two channels, both set on the Rate Manager tab (Setup > Property Options > Property Information > edit the property > Rate Manager).
- Messages: reservations, group allotments and inventory, sent to the Duetto Endpoint with the Username and Password.
- Files: daily summary and revenue files, and full-sync history, uploaded by secure FTP (SFTP) with the FTP Username and FTP Password.
Every message identifies the property by its RMS Client ID. In a multi-property database, each property sends its own data under its own Client ID.
What RMS Sends to Duetto
RMS checks each Duetto property for changes every 10 minutes and sends a set of files once a day.
| Data | What it contains | Sent as | How often |
|---|---|---|---|
| Reservations | Reservations created, modified or cancelled since the last check, with stay dates, Category, Rate Type, Market Segment, guest counts and revenue. | Message | Every 10 minutes |
| Group allotments | Changed group blocks, with status, room counts and rate. See Duetto - Group Allotments. | Message | Every 10 minutes, plus a daily check |
| Inventory | For each Category and day: Areas in total, available and out of order, for the next 90 days. | Message | Every 10 minutes |
| Stay-date summary | Occupancy and revenue by stay date, from 3 days ago to 365 days ahead. | File | Once a day |
| Folio revenue | Revenue posted to reservation accounts, from 31 days ago to 1 day ahead. | File | Once a day |
| History | Reservations, revenue and summaries from the later of the Start Date on the Rate Manager tab and two years before today. | Files and messages | Full sync only |
A full sync runs on the first check after the Rate Manager tab is saved with Duetto selected, and again after Re-Sync All Rate Manager Data (Requires Daily Password) is selected. See Revenue Management Update Reservation Data.
Which Categories and Areas Are Included?
RMS sends reservation and inventory data only for Categories that have a Code (Duetto's Room Type Code) and Areas that have Area Statistics turned on.
- Category Code: if no Category has a Code, RMS sends nothing. Group Allotments held on a Category with no Code are still sent, without a room type code.
- Area Statistics: Areas with Statistics turned off are left out of the reservations, inventory and stay-date summary, except in Interconnecting Categories that have a Code. A reservation with no Area assigned yet is still sent.
The steps to add a Category Code or turn on Area Statistics are in Duetto - Not Receiving Data from RMS.
How Reservations Are Identified to Duetto
Duetto matches and groups each reservation by the RMS values below, which must match the set-up agreed with Duetto exactly.
| Duetto uses | Value RMS sends |
|---|---|
| Property | The RMS Client ID. |
| Room type | The Category Code. |
| Rate plan | The Rate Type name, not the Rate Type Code. |
| Market segment | The Market Segment Code. A reservation with no Market Segment is still sent, without one. |
| Sub market segment | The Sub Market Segment Code, when set. |
| Source | The Booking Source Code, when set. |
Revenue and Currency
Revenue sent to Duetto is accommodation revenue without tax (GST/VAT/Sales Tax), even when the property's rates include tax. Package components are excluded and service charges are sent as a separate line. Amounts are in the currency of the property's country, which is not configurable. Group allotment rates in a secondary currency are converted first.
Which Guest Details Does Duetto Receive?
The guest details RMS sends to Duetto describe the type of booking, not the guest's identity.
- Not sent: guest name, address, phone number, email address and credit card number.
- Sent: state and country code, loyalty membership number and type, Travel Agent IATA number, Company ID, credit card type (for example, Visa), adult and child counts, and any discount or promo code.
Properties that treat loyalty membership numbers as personal information should include them in their privacy review.
Through the Duetto connection, Duetto can only send rate and restriction updates into RMS. It cannot request reservations, guest details or other data from RMS, and RMS replies to each update with only a success or error response.
How Reservation Statuses Appear in Duetto
RMS reservation statuses are mapped to a smaller set of Duetto statuses, which is one reason Duetto counts can differ from RMS screens.
| RMS reservation status | Sent to Duetto as | Uses inventory |
|---|---|---|
| Confirmed, Unconfirmed, Pencil, Maintenance, Owner Occupied, Stop Sell | Reserved | Yes |
| Arrived | In-House | Yes |
| Departed | Checked-Out | Yes |
| Cancelled | Cancelled | No |
| No Show | No-Show | No |
| Quote | Waitlisted | No |
The table shows the statuses in RMS's reservation messages. The full-sync history file sends Unconfirmed as Tentative and sends Maintenance, Owner Occupied and Stop Sell with no status, and the daily summary leaves Maintenance, Owner Occupied, Stop Sell and Quote reservations out of its occupancy and revenue totals.
Pencil reservations count as occupied in Duetto because they hold inventory in RMS, but the Availability Chart's occupancy percentage excludes them, so the two can differ for the same night. For other reasons figures differ, see Duetto - Figures Differ from RMS Reports.
RMS cancels a Pencil reservation automatically when it expires, and Duetto receives the cancellation with its next update. A reservation still showing as Pencil after its expiry date is counted as occupied in both RMS and Duetto until its status changes.
- Splitting a reservation: a split can distort Duetto's data, so create a new reservation instead.
- Moving a reservation to another property: 'Allow Moving Reservations Across Properties' cannot be used with Duetto. The moved reservation is duplicated in Duetto and RMS cannot detect it, so cancel it and create a new one at the other property.
When Data Does Not Reach Duetto
When RMS cannot send data to Duetto, the failure is recorded in internal logs only. RMS shows no message, sends no alert and does not retry straight away.
- A failed reservation or group allotment is resent when next modified, or at the next full sync.
- A failed daily file is sent again the following day.
- A first full sync that fails part-way is not repeated. Only Re-Sync All Rate Manager Data (Requires Daily Password) runs it again.
To find and fix the cause, see Duetto - Not Receiving Data from RMS.
What RMS Receives from Duetto
RMS receives Duetto's pricing decisions as rate and restriction updates and applies them to the Rate Type with the matching name and the Category with the matching Code. A restriction that names a Rate Type but no Category is applied to every Category that has a Code.

Where Duetto Decisions Appear in RMS
Duetto decisions are saved as overrides in the Control Panel under the user 'Rate Manager'. A Stop Sell from Duetto shows the channel 'Default Allotments' in the Control Panel, but it applies to all channels, including channels that use Channel Allotments.
- Do not edit or deactivate Duetto overrides in RMS. If a Duetto override is deactivated, a later identical decision from Duetto does not reactivate it. Change the decision in Duetto instead.
- Minimum Nightly Rate: Duetto can set a rate below the Minimum Nightly Rate set in the Control Panel, which limits RMS users only.
When RMS Rejects a Duetto Decision
RMS replies to each Duetto decision with a success or error response that only Duetto receives, so nothing appears in RMS when a decision is rejected. All error responses, including 249 (no Rate Type has the name Duetto sent) and 116 (no Category has the Code Duetto sent), are explained in Duetto - Rate Updates Rejected (Error 249 or 116).
