Information on Area Selection fees when a reservation is set to Fixed in RMS, or selected during on the Interactive Map on the RMS Booking Engine.

Overview

Properties can opt to charge a fee when a guest selects their preferred Area using the Interactive Map on the RMS Booking Engine, or Users manually set the reservation to Fixed.

This is configured as an Area Selection Fee.

These fees can be:

• Applied automatically when a guest selects a specific area on the RMS Booking Engine

• Prompted when a User sets a reservation to Fixed in RMS.

Configuring Area Selection Surcharges for Online Bookings

Use this configuration when you want to apply a fee for area selection made by the guest in the RMS Booking Engine / Interactive Map.

In the side menu of RMS, go to Setup > Online Bookings > Online Options.

1. Navigate to the Payment Options/Fees tab. 

2. Select the Sundry Charge for the surcharge.

3. Choose one of the following surcharge types:

   • No Fee

   • Area Selection Surcharge Per Night

   • Area Selection Surcharge Per Stay

   • Area Selection Surcharge %

4. Enter the surcharge amount based on your selected type:
   Per Night / Per Stay / Percentage (%).

5. Select Save/Exit.
   

When a guest selects a specific area online, the reservation is delivered into RMS as Fixed, and the configured Area Selection Surcharge is applied according to your settings.

Configuring Area Selection Surcharges - Category Level

To control how fees are applied when Users set reservations as Fixed in RMS, configure at the Category and/or Area level.

In the side menu of RMS, go to Setup > Categories.

1. Select Edit on an existing Category.
   
    

2. Navigate to the Online Options tab.

3. Select the Sundry Charge for the surcharge.

4. Choose one of the following surcharge types:

   1. No Fee

   2. Area Selection Surcharge Per Night

   3. Area Selection Surcharge Per Stay

   4. Area Selection Surcharge %

5. Enter the surcharge amount based on your selected type:
   Per Night / Per Stay / Percentage (%).

6. Enter the No greater Than $ amount.
   No Greater Than = 0 is treated as no cap (unlimited), not as "do not charge”.

7. Select Ask to apply area Selection Charge when fixing a reservation if you want RMS to prompt staff to post this surcharge whenever a reservation in this Area is set to Fixed. (Optional).

8. Select Save/Exit.
   

Configuring Area Selection Surcharges - Area Level

To override Category-level settings for specific areas:

In the side menu of RMS, go to to Setup > Categories.

1. Select Edit on an existing Category.
   
    

2. Navigate to the Area tab.

3. Select the Area.

4. Select Edit.
   
    

5. Navigate to the Online Options tab.

6. Select the Sundry Charge for the surcharge.

7. Choose one of the following surcharge types:

   1. No Fee

   2. Area Selection Surcharge Per Night

   3. Area Selection Surcharge Per Stay

   4. Area Selection Surcharge %

8. Enter the surcharge amount based on your selected type:
   Per Night / Per Stay / Percentage (%).

9. Enter the No greater Than $ amount.
   No Greater Than = 0 is treated as no cap (unlimited), not as "do not charge”.

10. Select Ask to apply area Selection Charge when fixing a reservation if you want RMS to prompt staff to post this surcharge whenever a reservation in this Area is set to Fixed. (Optional).

11. Select Save/Exit.
    

Area Selection Fee Hierarchy

When applying Area Selection / Area‑Lock fees, RMS uses the following hierarchy:

1. Area

   • If an Area has Area Selection / Area‑Lock settings configured (including No Fee), those settings are used for reservations on that Area.

   • Area-level configuration takes precedence over Category-level and Online Options.

2. Category

   • If the Area has no Area Selection configuration, RMS uses the Category-level settings for Area Selection Fees when fixing a reservation.

3. RMS Online Options

   • If neither Area nor Category has Area Selection / Area‑Lock configured, only the Online Bookings > Online Options settings apply.

   • These Online Options control fees for online bookings (RMS Booking Engine / Interactive Map) and do not trigger prompts when manually fixing a reservation in RMS.

Applying Area Selection Fees When Fixing a Reservation

When a user sets Fixed = Yes on a reservation:

• If Ask to apply area Selection Charge when fixing a reservation is enabled for the reservation’s Category or Area:

  • RMS displays a prompt asking whether to apply the area Selection Fee.
    
     

  • If the user confirms, the area Selection Fee is posted to the reservation’s account.
    

The prompt can appear even when fixing a new reservation that has not yet been saved, depending on the Category or Area configuration.

Area Changes and Area Selection Fees

When an Area is changed for a reservation that has an area Selection Fee applied:

• If the new Area does not have an Area Selection Fee configured, RMS can prompt:

  • “Would you like to void the area selection fee?”

• If the new Area also has an Area Selection Fee configured, RMS can prompt:

  • “Would you like to apply the new area selection fee?”

If you choose to apply the new fee:

• The existing area Selection Fee is voided, and

• The new area Selection Fee is applied according to the new Area’s configuration.
