Understand how to set up Add Ons, Facility Categories and Tours for bookable extras in RMS.
Overview
The meaning of “Hire Equipment”, “Additional Area”, or “Added Extra” can vary depending on the type of Property for which the setup is being completed.
In RMS, these are generally configured using:
Add Ons – for bookable equipment or extras (e.g. rollaway beds, cots, carparks, bikes).
Facility Categories – for bookable non‑accommodation areas (e.g. meeting rooms, camp kitchens, event spaces).
Tours – for activities or experiences (often provided by a third party) that are booked and paid for on a reservation.
Use the examples below to choose the most appropriate option for your property.
Examples
Add Ons - Book by Day, Night, or Time Increment
Hotels and Apartments may offer Portable Cots, Rollaway Beds, or car parks to guests.
Caravan or Holiday Parks may offer boats, bicycles, or firepits.
These examples are best set up as Add Ons.
About Add Ons
Add Ons have an optional setting to allow booking via the RMS Booking Engine, with inventory control to prevent overselling, and can be assigned to a Reservation.
For online bookings (RMS Booking Engine), Add Ons can be booked by Day or Night.
Booking by Time Increment online is not supported.
However:
Rates for Add Ons can be set as Hourly to allow partial‑day reservations when added or managed in RMS by staff (for example, charging only a few hours of use on an in‑house reservation), even though the online booking unit remains Day/Night.
In summary:
Online Booking Engine: Day / Night booking only.
In RMS (staff use): Hourly rates can be used to calculate partial‑day charges, but the online booking unit is still Day/Night.
Facility Category – Book by Hour (with Day/Night options)
Campgrounds may offer a camp kitchen and outdoor areas.
Hotels may offer meeting rooms or event spaces.
These examples are best set up as a Facility Category.
About Facility Categories:
Facility Categories can be made available via the RMS Booking Engine using a separate URL from accommodation, so guests cannot book both accommodation and facilities simultaneously online.
Facility Categories can be configured to be booked by Day or Night in online bookings.
As with Add Ons:
Rates on Facility Categories can be set as Hourly to allow staff to charge for partial‑day use (for example, a 3‑hour meeting) when managing bookings in RMS, even if the online booking unit is set to Day/Night.
In summary:
Online Booking Engine: Facility Categories use Day / Night booking.
In RMS (staff use): Hourly rates can be used to calculate partial‑day charges, but the online booking unit is still Day/Night.
Tours
A property may offer Tours to be booked for a third‑party provider.
A Tour is an activity, event, or experience that can be booked and paid for on a Reservation when using the Tour Desk Module in RMS.
Tour availability can be set for a date range or indefinitely, with the tour duration and schedule defined for each date range.
