How to add a message to a reservation to alert other Users in RMS.
Overview
Reservation Messages serve as a communication tool to notify Users of specific guest requests, relay internal messages, or document important details - such as items previously left behind.
Messages are recorded on the Correspondence tab of the reservation.
When a message is set to 'Mark as Read', the system logs the User who acted along with the date and time stamp, providing a clear audit trail for internal communication.
Guide
Open the Reservation in RMS.
- Navigate to the 'Correspondence' tab.
- Select 'Message'.
- Select a 'Notify On' option.
- Cancellation: The message will pop up on the screen when the reservation is cancelled.
- Check In: The message will pop up on the screen when the reservation is Checked In.
- Check Out: The message will pop up on the screen when the reservation is Checked Out.
- Confirmation: The message will pop up on the screen when the reservation is confirmed.
- Reservation: The message will pop up on the screen the next time the reservation is opened.
- Enter the Message to be read by other users.
- Select 'Save/Exit'.
More Information
This message will show a record on the Correspondence tab.
With the 'Notify On' option set to 'Reservation', this message will pop open when any RMS user opens this reservation.
Once the message has been actioned, the User can select the Message and set it to 'Mark as Read'.
A message icon will also display against this reservation on the In/Out screen to alert users that there is a pending Message.
