Information on building and using the Traces report in RMS.
Overview
The Traces Report offers a printable summary of all Traces within a selected date range, providing a clear snapshot of inter- and intra-departmental communication.
Traces are internal notes used to delegate or communicate tasks across departments. They can be created and tracked in various areas of the system, including the To Do Chart, Area, Reservation, Company, Travel Agent, Guest, or Group profiles.
Key Features
Can be assigned to a Department, with the option to select a specific User.
Optional notifications can be sent to the selected Users Message Centre.
Include a Due Date, or set a Repeat Frequency within a defined Date Range.
Traces can be marked as Completed by Users with the appropriate Security Profile access.
Guide
In the side menu of RMS, go to Reports > Daily > Traces.
- Select a Date Range.
- Select a Trace Template (if nothing is selected, 'All' will show by default).
(Optional) Select a Department.
(Optional) Select a User. - Select a Show option.
(Optional) Select a Group By.
(Optional) Choose a Sort By. - Select Build.
Report Columns
The built report presents the following columns for each Trace within the selected date range.
| Column | Description |
|---|---|
| Due Date | The date the Trace is due to be actioned. |
| Description | The text entered on the Trace. If Replace Description with Long Description or Show Description and Long Description is selected, the Long Description is shown here instead of, or in addition to, the standard Description. |
| Department | The Department the Trace has been assigned to. |
| Res No | The Reservation number the Trace is linked to, where applicable. |
| Area | The Area associated with the Trace, where applicable. |
| Name | The name of the Guest, Company, Travel Agent, or Group profile the Trace is linked to. |
| Assigned User | The User the Trace has been assigned to (if a specific User was selected when the Trace was created). |
| Trace Status | The current status of the Trace: Outstanding or Completed. |
