Build, publish and download owner statements for the areas you own in the Owner Portal.

This article is intended for Property Owners.
The Owner statement page in the Owner Portal lets you create an owner statement for one of your areas and a range of trust months, preview it, and publish it so it is saved for later. Published statements, including statements your property manager sends to the portal from RMS, are listed on the page so you can download them at any time.

The Owner statement page has two tabs:
- Published: the owner statements already saved for your areas. This tab opens by default.
- Build: create a new draft statement, preview it, then publish, download or print it.
Important! Your access to the Owner Portal may look different once you sign in, as the layout and available features depend on how your Property Manager has configured your account.
Prerequisites
- Your property manager has sent you your property's Owner Portal link.
- You sign in with your email address and Online Password to the Owner Portal Pro.
Open the Owner Statement Page
You can open the Owner statement page in the Owner Portal in any of these ways:
- Select Owner statement in the left navigation.
- On the Dashboard, select View statements in the Insights section.
- On a mobile device, select the Owner statement button in the action bar at the bottom of the screen.
Generate and Publish an Owner Statement
An owner statement is built on the Build tab for one area and a range of trust months. Follow these steps to create a draft, check it and publish it.
- Select the Build tab. Until you create a draft, the tab shows "No statements created".
- Select the area in the Area dropdown. The list shows the areas covered by your owner contracts.
- Select the months to include in the date picker. The most recent month your property has closed is selected by default. You can also select a preset such as Last month, Last year or All time.
- Select Create draft. The portal shows "Generating statement..." while the preview is prepared.
- Review the statement preview. Use the toolbar above the preview to move between pages, zoom in or out, download or print the statement.
- Select Publish to save the statement. A "Statement published successfully" message displays, and the Published tab opens with the new statement listed.
Tip! You do not need to publish a statement to keep a copy. Download or print the draft from the preview toolbar, then publish only the statements you want saved in the portal.
Please Note! Changing the area or the months clears the preview. Select Create draft again to build the statement with your new selection.
Please Note! Statements cover trust months, the monthly accounting periods your property closes as part of its end of month processing. You can select months up to three years back. A month that your property has not yet closed cannot be selected.
If a statement cannot be published, an error message displays with an option to try again. Your draft stays on screen, so you do not need to build it again.
View and Download Published Statements
The Published tab on the Owner statement page lists the owner statements saved for your areas. It includes the statements you published and the statements your property manager sent to the portal from RMS.
Each row in the Published Owner Statements list shows the following:
| Column | What it shows |
|---|---|
| Area | The area name and address. |
| Status | Active when your owner contract for the area is active and the area is in use. Inactive when your contract for the area has ended. |
| Date | The trust month, or range of trust months, the statement covers. |
| Statement | The statement file name. Select it to download the PDF. |
Use the controls above the list to find a statement:
- The date picker filters the list by trust month, up to three years back.
- The area filter shows statements for selected areas. It displays only when you own more than one area.
- Select a column heading to sort the list by that column.
The list shows 10 statements per page. Use the page controls below the list to see more.
Please Note! If the tab shows "No statements found", no statements have been published for the months and areas you selected. Adjust the filters, or select Create a draft statement to open the Build tab.
Statements Sent by Your Property Manager
Your property manager can send owner statements to the Owner Portal when they build owner statements in RMS. Each statement sent this way appears on your Published tab as a separate PDF for each area, and you download it in the same way as the statements you publish. You only see statements for the areas you own.
Owners With Expired Contracts
Owner statements stay available after your owner contracts end. If none of your owner contracts are active, you can still sign in to the Owner Portal. The left navigation then shows only Invoices and Owner statement, and you can build and download statements for up to three years back. Areas with an ended contract show a Status of Inactive.
Please Note! If your property has interconnecting areas, for example two apartments that can be joined and booked as one, the Area dropdown and the area filter list only the combined area. Statements saved against the individual areas still display when you filter by the combined area.
