Invoice To is an option on the Reservation Account that sets the person or company named as the recipient on Tax Invoices and other account documents, independently of the Bill To payer.
Overview
The Invoice To option on a Reservation Account identifies the person or company that receives the services from the property. It sits alongside the existing Bill To option, which identifies the party paying for the reservation.
In some situations, the party paying is not the party legally receiving the services, and the service recipient may require a valid Tax Invoice in their own name for GST/VAT claims. For example, a Company may pay for a stay while the guest needs the Tax Invoice issued in their name. Invoice To makes this possible without changing who is charged.
The two options work together as follows:
-
Bill To - the person or entity paying or receiving the invoice.
Displayed on the "Remittance" slip of the Invoice -
Invoice To - the person or entity receiving the services from the property.
Displayed under "Invoice To" on the Invoice.
Information
The Invoice To selection has two fields, positioned directly beneath the Bill To dropdowns on the Reservation Account screen:
| Field | Description |
|---|---|
| Invoice To Type | The type of recipient: Client (the guest), Company, or Travel Agent. |
| Invoice To Entity | The specific person or company named on the invoice, chosen from the entities linked to the reservation. |
An info icon next to the Invoice To fields displays a tooltip explaining the difference between Bill To and Invoice To.
Any combination of Bill To and Invoice To is supported. Common examples include:
| Bill To (pays) | Invoice To (receives services) | Example |
|---|---|---|
| Company | Client | A company pays for the stay, and the guest needs the Tax Invoice in their own name. |
| Travel Agent | Client | A travel agent settles the account on behalf of the guest. |
| Client | Company | The guest pays directly, but the invoice must name their employer for a GST/VAT claim. |
| Client | Travel Agent | The guest pays directly, but the invoice must name the travel agent. |
Set the Invoice To on a Reservation Account
Open the Reservation Account in RMS:
- Below the Bill To selection, choose the Invoice To Type: Client, Company, or Travel Agent.
- Choose the Invoice To Entity for the selected type.
- The change is saved automatically.
Defaulting & Syncing Behaviour
- On a new Reservation Account, the Invoice To defaults to the same selection as the Bill To.
- When the feature is released, all existing Reservation Accounts are updated so the Invoice To matches their current Bill To selection.
- Once the Invoice To has been manually set to a different recipient, it keeps that selection even if the Bill To is later changed.
Locking & Validation
- Once a Tax Invoice Number has been generated, the Bill To and Invoice To fields are read-only and cannot be changed.
- To change the Invoice To or Bill To on an account with an existing Tax Invoice, all Tax Invoices on the account will need to be cancelled first, and then the Bill To and Invoice To fields can be changed.
Documents that Show the Invoice To
Tax Invoices and Adjustment Notes have both the Invoice To and Bill To options on the documents. The Recipient details come from the Invoice To, and the Bill To details are shown on the Remittance section of the document. This applies to documents generated directly from the account as well as invoices created using Invoice to Accounts Receivable, Automated Invoicing, and the Batch Invoice Utility.
Receipt, Statement and Refund documents do not have an Invoice To section; therefore, they will only show the Bill To information in the Invoice To Section.
| Document | What changes |
|---|---|
| Tax Invoice | Recipient details come from the Invoice To. The Bill To details are shown on the Remittance section of the Tax Invoice. |
| Proforma Tax Invoice | Recipient details come from the Invoice To. The Bill To details are shown on the Remittance section of the Tax Invoice. |
| Credit Note / Adjustment Note | Recipient details come from the Invoice To. The Bill To details are shown on the Remittance section of the Tax Invoice / Adjustment Note. |
| Receipt | Recipient details come from the Bill To. |
| Statement | Recipient details come from the Bill To. |
| Refund | Recipient details come from the Bill To. |
