How to integrate and use ResDiary with RMS.
Overview
ResDiary is a restaurant booking management system.
Integrating ResDiary with RMS allows properties to manage restaurant bookings alongside accommodation reservations. Users can create, edit, link, and cancel ResDiary bookings directly from the RMS reservation screen, keeping all guest activity in one place.
Setup Guide
Prerequisites
Before you can manage your ResDiary bookings in RMS, you will need to:
- New ResDiary Client needs to Contact ResDiary to sign up first and complete setup. Once setup, you will need to request that the Add-On Feature be activated for PMS integration.
- Existing ResDiary clients need to Contact ResDiary to activate the ResDiary Add-On Feature for PMS integration.
- ResDiary will provide you with the Username and Password to input into the RMS Module Market configuration.
Module Activation
The ResDiary integration is activated from the RMS Module Market.
In the side menu of RMS, go to Module Market.
- Navigate to the Activated page.
- Select your Property. (Optional)
- Search for ResDiary.
- Click on the Configuration icon.
- Click on the Configuration icon.
- Enter the Username (provided by ResDiary).
- Enter the Password (provided by ResDiary).
- Select Save/Exit.

Form Letter setup
The RMS Form Letters have a Merge Field for ResDiary bookings that can be used for the likes of a Reservation Confirmation Letter.
The Merge Field is found under:
- Merge Table = Reservation
- Merge Field = ResDiary_Table
Webhook setup in ResDiary
When a reservation is cancelled in ResDiary, a webhook must be configured to notify RMS of the cancellation so it can also be cancelled in RMS.
To configure the Cancellation Webhook, go to: https://login.resdiary.com/
- Log in using the API Username and Password instead of the standard extranet username and password.
- Once logged in, navigate to Webhooks.
- Enter URL and enable Event Type “Booking Cancelled” and Enable Restaurants
URL: https://app8.rmscloud.com/api/Notify/ResDiary/Booking?ClientId=XXXX
(XXXX = RMS Client ID) - Select Booking Cancelled Only. Click to Activate (Green)
Do not select any other options here - Enable the relevant restaurants. Click to Activate (Green)

View ResDiary on an RMS Reservation
From the Reservation screen in RMS, you will find the ResDiary tab in the Side Menu.
From here you can:
- View Existing Reservations
- Link Existing ResDiary reservations to a Reservation in RMS
- Add, Edit, and Delete a ResDiary Reservation
Link a Reservation
Reservations that have been made in ResDiary can be linked to a reservation in RMS.
To do this from the reservation's ResDiary tab in RMS:
- Click on the Link icon.
- Enter the ResDiary Reference Number and Micro Site Name.
- Select Save/Exit.
The ResDiary Reservation will be displayed on the ResDiary tab of the RMS Reservation.
Add a ResDiary Booking
To Add a Reservation to ResDiary:
- From the ResDiary Tab on the RMS Reservation.
- Select Add.

- Complete as much information as possible.
Please Note: Blue fields are Mandatory and must be completed before the reservation can be booked. - Select Book when completed.

Edit a ResDiary Reservation
From the ResDiary tab on the RMS Reservation:
- Select Edit.
- Make any required changes.
Please note: Grey fields cannot be edited, and Blue fields are Mandatory. - Select Save/Exit.
Cancel ResDiary Reservation
- From the ResDiary Tab on the reservation.
- Select the ResDiary Reservation you wish to cancel.
- Select the Cancel icon.
- Confirm the Cancellation.
Cancel RMS Reservation
When an RMS reservation is cancelled or set as a No-Show, RMS will also cancel any ResDiary booking(s) automatically.
For a cancellation in ResDiary to be communicated to RMS, a Webhook must be configured to notify RMS of the cancellation so it can also be cancelled in RMS.
