Setup Epos Now with RMS Cloud.
Overview
The Epos Now integration lets you link your Point of Sale (POS) with RMS, ensuring charges, revenue, and guest details are kept up to date across both systems.
Properties can set up multiple locations within their Epos Now subscription.

Epos Now Setup
Contact your Epos Now account manager to subscribe to and set up the Epos Now API app for your Property.
After the API app is setup, configure integration in Epos Now.
- Log in to https://www.eposnowhq.com/
- Navigate to App Store > MyApps > API > Setup.
- Under Your API devices > Add or Remove API device.
- Create an API device for each of the locations you want to connect to RMS.
- Click Access Credentials. The key and secret will be needed for the RMS setup.
RMS Setup
Activate Epos Now Module
In the side menu of RMS, go to Module Market.
- Search for Epos Now.
- Toggle to Activate.
- Select the relevant Property.
- Scroll to the bottom of the module and click Activate POS.
- From the Module screen, select the settings icon on the module.
- Select the settings icon under Configuration.
- Enter the API Endpoint: https://api.eposnowhq.com
- EPOS Key: Enter the key from one of your API locations (provided by Epos Now).

EPOS Secret: Enter the secret associated with the key (provided by Epos Now).
Accounting Options
In the side menu of RMS, go to Setup > Accounting > Accounting Options.
- Select Default Settings.
- Navigate to the Accounting Defaults tab.
- Under POS, Select "Allow Charge to Area".
- Enter a Max Amount for Stay and Pre Auth Amount (Optional).
- Select Save\Exit.
Sundry Charges
You will need to ensure that the Charges you have in Epos Now can be mapped to the Sundry Charges in RMS. There is no need to assign an amount to these Sundries as the charge amount will come from Epos Now.
Epos Now Configuration in RMS
Link Epos Now to Locations
In the side menu of RMS, go to Setup > Accounting > Epos Now.
- Navigate to the API Credentials tab.
- Enter the Epos Now Key and Secret from the previous step.
- Select Connect Locations (Chain link icon).
Front Office Mapping
- Navigate to the Front Office Mapping tab.
- Click the "+" button to add a new Revenue Centre mapping.
- Select the Location from the dropdown list.
- Select the Default Sundry.
Assign a default sundry to be used if a charge is posted from Epos Now that hasn't been specifically mapped. - Click the "+" to add service period mappings.
- Enter a Description for the service period (e.g., "All Day" or "Breakfast").
- Set the Start Time and End Time for this service period.
- Navigate to the Mappings Tab

Sales Categories: This list will automatically populate with the Sales Categories configured in your Epos Now system.
Assign the corresponding RMS Sundry to the Epos Now Sales Category.
Any Sales Categories that are not mapped to a Sundry will fall to the Default Sundry assigned in Step 4 above. - Select Save\Exit.

Navigate to the Interface Options tab (Optional).
Account Id: Enter the ID (RMS Account number) of the RMS account where you want these non-room charges to be posted. This could be your property's general POS account or a dedicated Posting Master account.
Room Charge Receipt Id: Assign the EPOS now payment type used for room charges to exclude these transactions from the EOD sales posting.
POST EOD Sales: This setting allows non-room charges from Epos Now to be posted to a specific account in RMS Cloud at the end of the day.
Auto EOD Run Time: Set the desired time for the EOD sales to be posted automatically.
Recommendation - Set this time to run before your RMS end-of-day process, to ensure charges are posted with the correct accounting date. - Select Save.
- Navigate to Receipt Mapping.
- Assign the different Epos Now Payment Types to the corresponding Receipt Types in RMS Cloud. This mapping is used for posting non-room charge receipts.
Card Description is Optional. - Select Save\Exit.
Once the above steps have been completed, the integration between Epos Now and RMS Cloud will be active.
Ensure this process is repeated for every location you intend to connect to RMS.
Transactions
When the setup is completed and active, transactions from Epos Now are displayed in RMS with the description and amount configured in the Front Office Mapping.
