How to Use Report Writer in RMS to Create a Mailing List for Long-Term Guests
Overview
Report Writer is a powerful tool that enables you to extract and transform data from your property’s RMS database into fully customised reports.
A mailing list for long-term guests enables better communication, personalised offers, and ongoing relationship building — all of which drive loyalty, satisfaction, and revenue.
Steps
In the RMS Side Menu, go to Utilities > Report Writer.
- Enter a Template Name.
- Choose a Property.
- Select Reservation in the From column.
- Choose Long Term in the Field column.
- Select Equal To and Yes in the Criteria column.
- Click Add This Statement.
- Choose Save Template.
- Pick Show Matches.
- Select Export.
- Choose Add.
- Enter an Export Template Name.
- Choose Guest in the From column.
- In the Field column, select: TitleGivenSurname, Address, Town, State, Post Code.
- Click Save.
- Select Export to export using the matches from the Report Writer Search.
- Choose Export.
Visual Guide
In the RMS Side Menu, go to Utilities > Report Writer.

Select Save to store this Export Template for future use.

Select Export to export using the matches from the Report Writer Search.
- Choose Export.
