Do free users add to the overall User Licence?
Yes, free users count towards your total user licence limit. All user types, including free users, are included in the concurrent user count calculations.

What will users see if they have reached their User Licence on login?

How do licence counts work for Enterprise vs Property logins?
When you log in through an Enterprise ID, the system counts against your Total Enterprise licence allocation. When logging in through a Specific Property ID, it counts against that Individual Property's licence allocation only.
Should enterprise users log in with the Property ID or Enterprise ID?
Enterprise users who need access to multiple properties should log in using the Enterprise ID rather than individual Property IDs. This allows them to draw from the total enterprise licence pool instead of individual property allocations.
Why am I getting licence warnings when I'm under my limit?
If you're seeing licence exceeded warnings despite being under your allocated limit, this may be due to logging in with Property-Specific IDs instead of Enterprise IDs, or temporary system alerts. Contact support if the issue persists after verifying your login method.
Can I see my total enterprise licence limit in RMS?
Currently, Enterprise users need to review Individual Property licence counts and calculate the total manually. There isn't a single view showing the total enterprise licence limit within the RMS application. Who can update subscription details and user counts?
Subscription updates and user count modifications can typically be made by PSA (Primary System Administrator). Check with your administrator about audit trails and specific permissions for your account.
Why do licence warnings appear at certain times but not others?
Licence warnings are based on real-time concurrent usage. You may see warnings during peak hours when more staff are logged in, but not during off-hours when fewer users are active.
How can I identify what's causing licence overages?

What should I do if I get a licence warning?
First, verify you're using the correct login ID (enterprise vs property). Check your Active Sessions count against your licence limit. If you're genuinely over the limit, consider increasing your licence or managing concurrent usage.
Will I be locked out immediately when reaching my limit?
No. Users are never "Locked Out" of RMS. Once your licence limit is reached, additional users will be unable to log in until a licence becomes available. The system provides warning messages before enforcement. However, once enforcement is active, users will not be able to log in to RMS until a licence becomes available.

How do I prevent licence-related issues?
Monitor your active sessions regularly, ensure staff use appropriate login IDs (enterprise for multi-property access), and consider increasing licences if you consistently approach your limits during peak usage periods.
