Overview
RMS is built to support the full range of property types in the outdoor and recreational accommodation sector, including Campgrounds, Holiday Parks, Caravan Parks, and RV Parks. The platform handles the specific operational needs of parks, from site-specific inventory management and utility billing to bulk group bookings and online reservations with vehicle-length filtering.
This article provides an overview of the features most relevant to park operations. Each feature links to a dedicated guide where you can find full setup and usage instructions.
Site Management
RMS supports site-specific inventory through Site Types (also referred to as Categories in RMS), which group individual sites by their characteristics. Each site type can be configured to reflect the specific amenities, hookup types, and pricing of that group.
Key site management capabilities include:
- Site classifications - Sites can be classified as powered or unpowered, back-in or pull-through, and with specific hookup types (30 amp, 50 amp, water, sewer).
- RV length and type filtering - When the Site classification is applied, guests booking through the RMS Booking Engine are prompted to select their vehicle type and length. RMS then displays only sites that can physically accommodate that vehicle.
- Maximum occupancy - Each site type can have a maximum occupancy limit configured, which is enforced during the booking process.
- Out of Order and Out of Service - Individual sites can be taken offline for maintenance using Out of Order or Out of Service blocks directly from the Booking Chart, without affecting surrounding reservations.
Utility Meter Processing
RMS includes built-in Utility Meter Processing that enables properties to read electricity, water, and gas meters and automatically charge guests for the consumption recorded during their stay.
This covers the full billing workflow:
- Meter configuration - Meters are configured per site under Setup > Meters, with tiered rate structures that can reflect local utility tariffs (for example, a flat rate per kilowatt-hour, or escalating tiers based on consumption).
- Bulk meter activation - Meters across multiple sites can be activated in bulk, with a starting meter read entered for each site at the time of activation.
- Meter processing - Staff enter the current meter read for each in-house reservation under Utilities > Meter Processing > (utility type). RMS calculates the consumption used and the amount to charge based on the configured rate, then applies the charge directly to the reservation account.
- Bulk processing - Meter reads for all in-house reservations can be processed in a single session, with the option to filter by rental type and rate type before processing.
- Utility statements - Once processed, itemised utility billing statements can be printed or emailed to guests directly from the meter processing screen.
- Importing meter reads - If a smart meter integration is in use, current reads can be imported into RMS rather than entered manually.
Group Bookings
Parks that host rallies, club events, or group travel can manage bulk bookings using RMS Groups (also called Group Allotments). A Group is a named block of site inventory held at agreed rates, from which individual guest reservations are drawn as the booking fills.
Key group booking features include:
- Inventory hold - A set number of sites is held for the group, either guaranteed (deducted from house availability) or non-guaranteed.
- Rate allocation - Only the rate plans assigned to the group can be selected when booking against it, ensuring group pricing is enforced.
- Booking Chart integration - The Availability Chart can be filtered to display only the group's held sites, making it straightforward to draw individual reservations into the allotment.
- Release date - Unbooked sites in the allotment are automatically released back to general inventory at a configured release date or number of days before arrival.
- Master Reservations - When multiple sites are booked against the same group, RMS automatically rolls those individual reservations up under a Master Reservation linked to the group record, providing a consolidated view of the booking.
- Online group bookings - Guests can self-book against a group using the group description as a promotional code in the RMS Booking Engine.
Groups are managed under Reservations > Groups in RMS.
Online Bookings with Vehicle Filtering
The RMS Booking Engine supports vehicle-specific site selection for park guests. When site types are configured with the Site classification, guests are prompted on the booking engine to enter their vehicle type (Motorhome, Caravan, Tent, etc.) and length. The booking engine then displays only sites that have been configured to accommodate that combination, reducing the risk of a guest arriving in a vehicle that does not fit their site.
Housekeeping
While less common for outdoor sites, RMS includes an optional Housekeeping feature that can be enabled on specific site types. When enabled, housekeeping tasks are generated automatically based on reservation arrivals and departures, and staff can update room or site status directly from the Housekeepers screen or via the Guest Portal. This is most relevant for cabin and glamping-style accommodation within a park.
Pencil Reservations
A Pencil Reservation is a temporary hold that can be placed on a site directly from the Booking Chart. It requires minimal guest information and auto-cancels after a configured expiry time. Pencil Reservations are useful for holding a site while a quote is being finalised, without committing the inventory permanently.
