Barcode Scanners for POS Lite allow you to scan items at the counter to automatically populate the POS Lite sale screen in RMS, replacing the need to manually select Sundry Charges from a dropdown.
Overview
POS Lite supports any standard USB barcode scanner connected to the same device accessing RMS. Scanners operate as keyboard input devices - no additional drivers or software are required.
To use a barcode scanner with POS Lite, each item that can be scanned must first have a barcode value configured on its POS Lite Sundry Charge. When you scan an item while the POS Lite sale screen is open, the matching Sundry Charge is automatically selected in the Description field.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Compatible Scanners
RMS POS Lite works with any USB HID (Human Interface Device) barcode scanner connected to the same computer accessing RMS. Examples of scanners used by RMS customers include:
- Datalogic GD4130 Gryphon Barcode Scanner
- Motorola LS2208 Handheld Barcode Scanner Kit
- Zebra LS2208 1D USB Barcode Scanner
Tip! Any USB plug-and-play barcode scanner that works as a keyboard input (HID class) will be compatible. Check the scanner specifications for "HID" or "keyboard emulation" support before purchasing.
Setting Up Barcodes on Sundry Charges
Before scanning can work in POS Lite, each item needs a barcode value added to its POS Lite Sundry Charge. This tells RMS which Sundry Charge to select when that barcode is scanned.
In the side menu of RMS, go to Setup > Accounting > Sundry.
- Open the relevant POS Lite Sundry Charge by double-clicking it.
- Select Barcode Scanner from the left navigation panel inside the Sundry form.
- In the Barcode field, enter the barcode value exactly as your scanner outputs it.
- Optionally, enter an alternative value in the Alt Barcode field if the item uses more than one barcode.
- Select Save.
Please Note! Enter the barcode value in exactly the format your scanner outputs it. To verify, open a plain text editor, scan the item, and check what characters appear. Copy that exact value into the Barcode field on the Sundry Charge.
Using the Barcode Scanner in POS Lite
Once barcode values have been configured on Sundry Charges, you can process sales by scanning items directly in the POS Lite sale screen.
In the side menu of RMS, go to Accounting > POS Lite.
- Select Sale to open the POS Lite POS Lite Account.
- With the POS Lite Account open, scan the item barcode using your scanner.
- The matching Sundry Charge is automatically selected in the Description field.
- Adjust the Quantity and Unit Price if required, then select Add.
- Repeat for additional items, then select Pay Now or Charge to Area to complete the sale.
Please Note! The POS Lite sale screen must be open before scanning. Scanning from any other RMS screen will not trigger POS Lite or populate a sale.
Verifying Your Barcode Setup
To confirm a barcode is configured correctly and working:
Open Accounting > POS Lite and select Sale.
- Scan the item barcode while the POS Lite Account is open.
- If the barcode is recognised, the Description field automatically populates with the Sundry Charge name.
- If the Description does not populate, check that the barcode value entered on the Sundry Charge exactly matches the scanner output.
Tip! If scanning does not populate the Description field, open a plain text editor, scan the barcode, and note the exact characters that appear. Update the Barcode field on the Sundry Charge with that exact value.
