This article describes the Thailand VAT Report, which lists the payments and refunds processed for a property in a date range, with 7% VAT calculated from each amount.
Overview
The Thailand VAT Report lists every receipt, refund and payment reversal dated within the selected date range for one property. For each payment it splits the amount into a Vatable Amt and the VAT 7% included in it, and shows who paid, their tax identification number and the receipt number. Payments are grouped into two bands, Tax Invoice and Tax Invoice for A/R Payment, each with its own total, followed by a Grand Total.
The report was built for properties in Thailand. Accounts and finance teams run it to prepare VAT figures for a period and to check the payments behind them.
Please Note! The Thailand VAT Report always calculates VAT at 7% of the payment amount. It does not read the tax rates set up in RMS, so the VAT 7% column can differ from the tax on the original charges.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Use Cases
- Monthly VAT figures - at the start of the month, the accounts team runs the Thailand VAT Report for Last Month to get the vatable amount and VAT on the payments received.
- Checking company and agent payments - the finance team reviews the Tax Invoice for A/R Payment band to see payments made by companies and travel agents, with their tax numbers.
- Tracing a reversed payment - a manager finds a reversed receipt by its Invoice No and checks the date and amount of the reversal row.
How to Access
In the side menu of RMS, go to Reports > Accounting > Thailand VAT Report.

Report Options
The report options on the Thailand VAT Report set the date range and the property the report covers. All options are visible on the Report Options panel; this report has no More Options panel.
| Report Option | Type | Default | Description |
|---|---|---|---|
| Transactions Between | Date range | Last Month | Includes payments whose transaction date falls in this range. Choose a preset, such as This Month, or a Custom Range. |
| Property | Dropdown | First property in the list | The one property the report covers. Lists every property in the database. Shown on multi-property databases only. |
Column Headers
The Thailand VAT Report shows one row for each payment, refund or reversal. Where a value depends on how the payment was made, the Source / Calculation column points to Data Sources & Calculations.
| Column | Description | Source / Calculation |
|---|---|---|
| Date | The transaction date of the payment. | Transaction date on the account. |
| Invoice No | The receipt number. For a refund it is the refund number, and for an expense the expense number. | Matches the number in the Payment column, for example Cash Receipt #12272. This is not a tax invoice number. |
| Account | The RMS account number the payment was made on. | Reservation, guest, company, travel agent or cash account. |
| Tax ID | The tax identification number of the payer. | See Who is named on each row? |
| Name | The guest, company or travel agent who paid. | See Who is named on each row? |
| Payment | The payment description, including the payment type and number, for example EFTPOS Receipt #12278, Visa. | Transaction description. |
| Comment | The comment on the payment, for example the amount tendered and change given, or a reversal reason. | Transaction comment. |
| Vatable Amt | The payment amount before VAT. | Total ÷ 1.07. See How is the VAT calculated? |
| Non Amt | The amount with no VAT. | 0.00 except on the Water Account Type. See How is the VAT calculated? |
| VAT 7% | The VAT included in the payment. | Total − (Total ÷ 1.07). |
| Total | The full payment amount. Refunds and reversals show as negative amounts. | Amount of the receipt, refund or expense. |
| CLK | The user who processed the payment. Online payments show RMSOnline. | Username of the user on the transaction. |
| POS Check Number | The point-of-sale (POS) check number linked to the payment, if any. Several numbers are separated by commas. | MICROS POS check records linked to the transaction. Blank for other payments. |
Within each band, rows are sorted by Date and then by Invoice No. Each band ends with a total row, Tax Invoice Total or Tax Invoice for A/R Payment Total, and the report ends with a Grand Total. Both add up the Vatable Amt, Non Amt, VAT 7% and Total columns. The report header shows the property name, the report title and the date range, for example From 01 Jan 2025 To 31 Dec 2025.
Data Sources & Calculations
The following concepts govern which payments appear on the Thailand VAT Report, how each amount is split, and which band and payer each row shows.
Which transactions appear on the Thailand VAT Report?
The Thailand VAT Report takes its rows from the same payment data as the Cash Transaction Report, for the selected property and date range. The Thailand VAT Report includes:
- Receipts and refunds on reservation, guest, company and travel agent accounts, including online payments.
- Reversals. When a receipt or refund is reversed, the original row stays on the date it was made, with Reversed added to its Payment text. A separate row starting with Reversal: shows the same amounts as negatives on the date of the reversal. See Reverse a Receipt.
- Expenses, such as a Cash Expense or a Direct Credit Expense, as negative rows.
Receipts and refunds with the Journal receipt type are left out. Charges are never listed: the report covers money received and paid out, not amounts charged.
How is the VAT calculated?
The Thailand VAT Report treats every payment amount as including 7% VAT and works backwards from the Total:
- Vatable Amt = Total ÷ 1.07, rounded to two decimal places.
- VAT 7% = Total − (Total ÷ 1.07), rounded to two decimal places.
- Non Amt = 0.00.
For example, a payment of 3,000.00 shows a Vatable Amt of 2,803.74 and VAT of 196.26. A refund of 200.00 shows -186.92 and -13.08.
Payments made on the Water Account Type are treated as having no VAT: VAT 7% shows 0.00 and Non Amt shows the full amount. The Water Account Type is one of the extra reservation Account Types a property can use when it splits reservation accounts. For the settings, see Accounting Options - Account Screen Tab. For some Accounts Receivable payments on a reservation or guest account, RMS checks the Account Type of the original charge the payment was allocated to and applies the same rule.
Which band does a payment appear in?
The Thailand VAT Report places each payment in one of two bands:
- Tax Invoice for A/R Payment - payments made through Accounts Receivable, payments on an account whose Bill To is a Company, Travel Agent or Wholesaler, and payments on a Company or Travel Agent account.
- Tax Invoice - all other payments, including payments on accounts billed to the guest and expenses on the property's cash account.
Who is named on each row?
The Name and Tax ID columns on the Thailand VAT Report show the payer, worked out from who the account is billed to:
- Billed to the guest - Name is the guest on the payment. Tax ID is the guest's passport number or, if there is none, the guest's ABN (tax number).
- Billed to a Company, Travel Agent or Wholesaler - Name is the Trading As name, or the company or agent name if Trading As is blank. Tax ID is its ABN. If the Bill To has no name or ABN, RMS uses the Company or Travel Agent on the reservation, and then the one linked to the account.
- Accounts Receivable payments on a reservation or guest account - RMS first uses the guest, Company or Travel Agent on the tax invoice the payment relates to, then applies the rules above.
Name and Tax ID are blank when RMS cannot find a payer, for example on an expense paid from the property's cash account.
Please Note! When no payment matches the report options, the report shows a single row with Invoice No 0, Account 0, a Date of 01 Jan 0001 and zero amounts, followed by zero totals. This row is not a payment; check the Transactions Between range and the Property.
