This article explains how RMS chooses which Payment Schedule applies to a reservation when Payment Schedules are set up in more than one place.
Overview
A Payment Schedule allows you to set up structured payments for a reservation. Instead of collecting everything at check-in, you can take deposits or instalments before arrival.
Payment Schedules help reduce no-shows, spread out guest costs, and streamline staff processes.
Please Note! RMS is highly configurable. Some Terminology, User Access & Permissions, Images, Labels, and Functions used in these articles may differ from your setup. CLICK HERE to find out more.
Hierarchy
Payment Schedule Templates can be assigned to Rate Types, Derived Rate Types, Property Rate Rules and Rate Tables. When more than one applies to a reservation, RMS uses the Payment Schedule Hierarchy to choose one template. The levels RMS checks depend on whether the reservation uses a Rate Type or a Derived Rate Type.
Please Note! Payment Schedules set on rates are only applied automatically to reservations where the accommodation is billed to the guest.
Reservation using a Derived Rate Type
For a reservation on a Derived Rate Type, RMS checks the reservation first, then the Rate Table that prices the first night of the stay, then the Derived Rate Type Property Rule, and then the Derived Rate Type.
- A Derived Rate Type never uses the Payment Schedule set on its 'Derived From' Rate Type, or on that Rate Type's Property Rate Rules.
- A Payment Schedule on the Rate Table takes precedence over a Payment Schedule on the Derived Rate Type or its Property Rate Rule. The Rate Table that prices the first night is usually a Rate Table of the 'Derived From' Rate Type.
Reservation using a standalone Rate Type
For a reservation on a Rate Type, RMS checks the reservation first, then the Rate Type Property Rule, then the Rate Type, and then the Rate Table that prices the first night of the stay. A Payment Schedule on the Rate Type or its Property Rate Rule takes precedence over a Payment Schedule on the Rate Table.
Tip! To give a Derived Rate Type, such as a promotional rate, its own Payment Schedule while its 'Derived From' Rate Type uses a different one, set the 'Derived From' Payment Schedule on the Rate Type or its Property Rate Rules instead of on the Rate Table.
Company, Travel Agent and Booking Source Rules
Each level of the Payment Schedule Hierarchy can have rules for a Company, Travel Agent or Booking Source as well as a Default Template. RMS checks these rules from the top of the list down and uses the first rule that matches the reservation. If no rule matches, RMS uses the level's Default Template.
- A level with no Default Template is skipped, even if it has Company, Travel Agent or Booking Source rules.
- Inactive Payment Schedule Templates are ignored, and RMS moves on to the next rule or level.
Change of Payment Schedule
RMS chooses a Payment Schedule automatically only when it applies the Payment Schedule Hierarchy. Whether a change to a reservation applies the hierarchy again depends on where the change is made:
| Change to the reservation | Made in RMS | Made by the RMS Booking Engine or an online channel |
|---|---|---|
| Reservation created | The hierarchy is applied. | The hierarchy is applied. |
| Rate Type, dates or other details changed | The existing Payment Schedule stays. | The hierarchy is applied again and the result replaces the existing Payment Schedule. |
| The new rate has no Payment Schedule | The existing Payment Schedule stays. Remove it on the reservation if it no longer applies. | The existing Payment Schedule is removed. |
| The reservation has no Payment Schedule and the new rate has one | The Payment Schedule is not added. Add it on the reservation. | The Payment Schedule is added. |
In RMS, the hierarchy is also applied when a Rate Type is added to a reservation that did not have one. To use a different Payment Schedule at any time, change the Payment Schedule on the reservation. A new Payment Schedule always replaces the existing one.
Please Note! Changes to Hoseasons, Pitchup and Amadeus CRS bookings are treated like changes made in RMS, so the existing Payment Schedule stays.
Tip! If a Payment Schedule has already issued a Pay By Link or processed one or more payments, and a new schedule is then applied, the updated schedule will be calculated based on the remaining account balance, excluding any payments that have already been received.
