The Audit Trail on a Payment Schedule Template records every change made to that template, including what changed, who changed it, and when.
What does a Payment Schedule Audit Trail show? A Payment Schedule Audit Trail shows a dated history of every change made to a Payment Schedule Template. Each entry names which template setting changed, its previous value, its new value, and the RMS user responsible, which makes the Audit Trail the fastest way to confirm who altered a payment rule and when.
What does the Payment Schedule Audit Trail record?
Each Audit Trail entry captures five details. Use this when a payment amount or timing has changed unexpectedly and you need to establish what was altered before raising it with your team.
| Detail recorded | What it tells you |
|---|---|
| Date and Time | When the change was made. |
| Field | Which setting on the template was modified. |
| Previous (Old) Value | What that setting held before the change. |
| New Value | What that setting holds after the change. |
| User | Which RMS user made the change. |
How do I review Payment Schedule changes?
Before you begin, you will need a Security Profile that grants access to Payment Schedule setup.
In the side menu of RMS, go to Setup > Accounting > Payment Schedule Template.
- Open the template you want to review.
- Go to Audit Trail.
- Adjust the date range to cover the period you want to examine.
- Read the entries from newest to oldest to trace how a setting reached its current value.
Tip! An Audit Trail grows long on a template that is edited often. The date range defaults to the last 30 days, so widen it before concluding that an older change was never made.
Frequently asked questions about the Payment Schedule Audit Trail
Why can I not see a change I know was made?
If you cannot find a change you expect, the date range is the usual cause. The range defaults to the last 30 days. For example, a trigger amount edited three months ago will not appear until you widen the range to cover that date.
Does the Audit Trail show payments taken from a guest?
No. An Audit Trail records changes made to the Payment Schedule itself. To view and manage payments collected from a guest or corporate customer, use the Automated Payments Dashboard or the Automated Payments Report.
Where do I look for changes made on a single reservation?
The Audit Trail described here sits on the Payment Schedule Template and covers changes to that template. For adding, changing, and removing a schedule on an individual booking, see How to Manage Payment Schedules on a Reservation.
